Yes, the WorkBright Form I-9 allows for the completion of Supplement B of the Form I-9.
When an employee’s Work Authorization Documents are expiring/expired, you can use WorkBright to Reverify these documents and complete Supplement B (formerly section 3).
There are 2 ways to complete Supplement B. It can either be completed by an Admin or Remotely by an employee.
1. Employee Completing Supplement B Remotely:
If an employee is showing on the dashboard as expired/expiring soon, you can verify the expiration date by clicking the Expired Docs tab in the I-9 Forms inbox.
To trigger a notification to go to an employee to complete Supplement B remotely, you will want to navigate to their profile, open their Form I-9, then click the down arrow in the top-right to select Request Remote Reverify.
When clicked, it will provide an alert that Remote Reverification was selected. This will go away once the employee completes the re-verification OR if it is canceled. This can be canceled the same way it was requested.
This will trigger a notification to go to the employee and request them to update their documents.
The employee can follow the link and log into their dashboard. From here, they can update their documentation the same way they started their I-9.
From there, they will select their new documents, and the workflow will be the same as completing section 2.
2. Admin Completing Supplement B:
Locate the completed Form I-9 for the Employee by either navigating to their profile from the Staff page or by searching the Employee name in the Completed tab of the Form I-9 inbox on the Onboarding page. While viewing the previously completed Form I-9, click the down arrow (next to the Reject) button to expand the menu and select Complete Supplement B:
Once you initiate completion of Supplement B, there will be three options for you to select from: reverify documentation, rehire staff, and change name:
Select which process you're completing for this employee to proceed. For this example, we will reverify documentation. Once we select Reverify documentation, notice that only a select list of documents from List A and/or List C that are eligible for re-verification are available for selection:
Select the document title you are re-verifying and enter the information for the new, un-expired document. Once you've entered the information, sign and submit the completed Supplement B:
When you return to the completed Form I-9, you'll now see Supplement B (found by scrolling to page 4 of the I-9) populated with the applicable information, as well as an updated additional information note on the audit log confirming who updated the information, what was updated, and when:
The user-friendly workflow of the WorkBright Form I-9 completes only the applicable information to ensure you have an audit-ready and compliant Form I-9.
Need additional information on Supplement B of the Form I-9?
Per the U.S. Citizenship and Immigration Services (USCIS) there are three scenarios that must and/or may initiate the need for completion of Supplement B, all of which are included in the WorkBright Form I-9 workflow:
Reverify documentation - You must reverify an employee's employment authorization no later than the date employment authorization expires. The employee must present a document that shows current employment authorization, such as any document from List A or C. You can also accept certain receipts for re-verification.
Note: Re-verification is never required for U.S. citizens or non-citizen nationals.
Rehire Staff - If you rehire employees within three years from the date you completed their previous Form I-9, you may use the previously completed Form I-9. If you choose to use their previous form, you'll complete Supplement B to verify that they are still authorized to work. You can also choose to have the employee complete a new Form I-9.
Change Name - If an employee has a legal name change, Supplement B may be completed to maintain the correct information on the form. For additional name change scenarios you may encounter, please refer to the USCIS website for guidance.
