Bulk update staff is a new feature that will allow you to make changes to your staff's custom fields in one easy step.
You can find this feature in the ‘Quick Staff Actions’ drop-down menu found in the top right corner of your screen in your WorkBright navigation bar.
From here, you can select ‘Bulk Update Staff’
This will open up the page to update your staff.
On this page, you can see your previous updates, the date and time created, who it was created and submitted by, the staff count, and the status. You will also be able to view the summary and resume, an update if needed. We will review the summary in more detail in section 6. For resuming an update, this will pick up at whatever section you left; we will go over the sections in more detail later in this article.
This page is also where you will start a ‘New Bulk Update’
1. Upload file
During this step, you can upload (see red box) an Excel or CSV file to start the process. If you need a sample file, you can download an Excel or CSV file by clicking the file type next to where it says Sample files. (see blue box)
Once your file is uploaded, you will get a confirmation note that it is successfully uploaded. If there was an error or if you uploaded the wrong file, you can click the red remove button, and it will allow you to start the upload process again. Once you are satisfied with your uploaded file, click the Next button to move to the next step.
2. Select WorkBright ID
Here, we will select the ID type that will be used to match the updates to the correct staff member.
Click on the drop-down to select the ID type you will use.
Once selected, you can click next.
3. Match Columns
During this step, we will match the column names in our file to the field names in WorkBright.
The first column will be the names from your spreadsheet, and the second column will have dropdown(s) that correspond to each column of your spreadsheet. In the dropdown(s) you will be able to select from the custom fields that you have in your system. Under these dropdown(s) you can click the option to ignore this column if you do not need this column imported.
If you select ‘Ignore this column’ you will see a resulting message, “Ignored. This data won’t be updated” If you made an error or decide that you do want to map the field, you can still select a field option from the dropdown(s).
Once you have mapped all of your fields, you will get a confirmation on the box on the right side of the page. Click the Next button to proceed to the Review step.
4. Review
During this step, you will have an opportunity to review how many Staff members will be updated. If you want to review the fields that you input in step 3, you can simply click the Back button in the lower-left to make any corrections needed. If you need to start over, you can click on the ‘Upload a Different File’ button and this will take you back to step 1.
* Please note that the actions you have taken in the previous steps will not be preserved as you are starting a new upload and will need to complete these actions again. *
If everything looks good on your review, click ‘Start Update’ to move to step 5.
5. Processing
During this step, there is no specific action that you need to take; we will just wait to get to Step 6.
** Please note that the step can take some time depending on the size of your upload. **
6. Complete
Once your upload is complete, you will get a summary of this upload. Here, it will indicate what was successfully updated or what failed to update.
If you have any that failed to update, you can click on ‘See Details’ to get insight into why this may have failed.
To correct your failed uploads, you simply need to go back to the original document that you uploaded and make the necessary corrections based on the indicated errors. From there, you can re-upload to reach a successful update.
