If you have a staff member who has an already completed I-9 and you do not want or need them to complete a new one, we have a very easy step-by-step process to upload that into the Workbright platform. (Please review the Important Notes section at the end of the article.)
To upload a Form I-9 to your staff, you will need to first go to their staff page. You can find this by searching for the staff member via the “Search Staff Member” box in your navigation bar.
You can also find this via the “Staff” Screen, also found in the navigation bar.
Then, look for them by scrolling through your list to find the staff member or using the search function on the far right side of this screen to find them.
If you are uncertain about who needs to have a form uploaded, the best way to find out who these users are is to go to the “Onboarding” from there you will select the “I-9 Forms” inbox.
Once in the I-9 Form Inbox, you will select the Missing or Rejected tab.
You are looking for Staff members who are listed as “Not yet received” in this case we are looking “Weston Test”
Once we have the name of the staff member, we can go to their profile in the Staff Screen. In their profile we will navigate to the “Forms” tab.
On the row that lists the Form I-9 you will navigate to the three dots on the far right of the row. When you click the three dots a pop up will appear and you will select the option that says “Upload…”
This will open an upload screen. Click on “Select a file to upload”
This will open a pop-up to select a file from your computer.
Select the correct file and open or select it for upload. (Seen here is the Mac OS view note it may be different depending on your Operating system)
Once uploaded you will click on “Submit”
Once submitted, you will be taken back to the forms tab of the staff profile and see that it has been uploaded.
When you open the Form I-9, you will see in the “Other Details” section the format as Paper Upload for your records.
That is how you successfully upload a Form I-9 to a Staff Profile.
Important Notes on Uploading an I-9.
As an uploaded I-9 was not done natively, it will have many of the same benefits as an I-9 completed in the Workbright system.
The fields in the Form I-9 will not be populated in reports nor appear in the expired documents section of the Form I-9 inbox.
If your account is set up with E-Verify, it is important to note that an uploaded I-9 will not automatically push to E-Verify. You will need to complete it manually via the E-Verify website.
