Section 2 Guide for Staff Members

Do you have a guide I can share with my staff members that explains how to complete Section 2?

Updated over a month ago

Yes, we do! Feel free to share this article with your employees, or read on to see the process from their perspective.

Section 2: Guide for Staff Members

After signing your I9, you will see this screen. Select the blue “click here” to begin section 2.

Please read the instructions carefully. You may use a laptop with a camera for this step, or a cell phone, but your authorized representative must have a smartphone.

You have two options from here on how to proceed: by sharing your location, or not sharing your location.

Option One: Sharing Location

After clicking ‘Share My Location’, you will see the following screen:

You will need to enter the phone number of the person who is acting as your authorized representative, and click ‘Send Text Message’.

*NOTE: Your authorized representative will also need to have location sharing enabled for this step if you are using this option. If they do not wish to share their location, please utilize Option 2 instead.

After you enter their cell phone number and click ‘Send Text Message’, you will see this on your screen:

You have the option here to send the text message again, and also to start over with a different person and phone number if needed. At this point, the rest of the verification will need to be completed by your authorized representative. They should have received a text message similar to the following, but with your name:

Upon clicking the link, they will be asked to share their location, which is required for this option (you may need to select ALLOW on your device). There is also a brief, optional video explaining more about how to complete the I9:

After submitting their location, they will be asked to certify their identity and to type their name (they should NOT type your name):

They will then be asked a few questions to verify your documents. You must have your physical documents handy for them to inspect and to confirm that they match the photos shown on the screen:

They will make the appropriate selections to the questions and Continue. If they do not match or if they select no to any of the questions, when the Authorized Rep has selected Complete the Authorized Rep will not need to sign. The Employee will have the option to start over or return to the forms list.

If the documents do match, the Authorized Rep will make the appropriate selections and continue. They will be asked to sign and click ‘complete verification’:

NOTE: If they select return to forms list, they will not be able to start over until their I-9 is rejected by an admin.

And then you will see this on your screen:

And you’re done!

Option 2: QR Code (No location sharing)

If you choose not to share your location, much of the above process will be the same, but you will instead need to use a QR code provided by WorkBright to verify that you are in the same physical location as your verifier.

You will click ‘Share My Location’ on this screen:

If you have denied access to your location, you will see a message like this:

You will proceed to enter your document reviewer’s cell phone number, and click ‘send text message’. You will then see this on your screen:

You authorized representative should have received a text message like this:

Upon clicking this link, they will see this on their mobile browser:

Back on your screen, you will click ‘Begin QR code scan’. Using either a camera on your laptop, or the camera on your mobile device, you will scan the QR code that is displayed on your authorized representative’s device.

After scanning, your screen will look like this:

They will click ‘Scan Completed’ on their device, and that time, they will be brought to step 2 (verify documents).

The steps from this point are the same as Option 1.
