Getting Started for Project Owners & Task Assignees

Welcome to Workgroups DaVinci Pro! We are thrilled you're here and excited to get started.

As a new Project Owner (responsible for Managing Projects) or Task Assignee (responsible for the work needed to complete a project), this brief guide is created to help you get started quickly using Workgroups.

First, it will be helpful to learn a little bit more about Workgroups DaVinci Pro.

Workgroups is a work and project management tool that helps organizations, like yours:
​

  • Receive Project Requests from your internal (ex. sales) and/or external (partners, customers, etc.) customers.

  • Scope and plan projects

  • Manage all of the tasks (workflow) required to successfully complete projects

  • Receive feedback and approval on the materials you create as deliverable for your projects (ex. Sales Collateral, Packaging, Instructions, Web Pages, Emails, Presentations, etc.)

This is done by helping your organization define and standardize:

  • Your Project Types - A project type is simply the type of work being done. You can define project types at a basic level (ex. Print, Digital, Web, Packaging) or you might be more specific (ex. Email blast, Sales Collateral, Hang Tag, Landing Page). We recommend starting simple; create a list of the types of projects you deliver.

  • Your Project Form Templates - Once you have identified the types of projects you will manage in Workgroups, you will want to identify the information you need to collect in order to scope a project. This information is captured in a project Form Template. Once this template is created, it can be used over and over by your team, or the people requesting your projects. Its possible that you might collect the same information across many different project types. The goal again is to start simple.

  • Your Project Workflow Templates - Now, you will want to identify what steps or tasks need to happen in order to complete a project. This will be captured in a Workflow template. You may have very detailed workflows that vary by project type, or you may have a simple workflow that applies to all of your project.


Once these templates have been created, your organization is able to start running projects through Workgroups.

Projects come into the system two ways:

  1. A project request is created by a internal or external customer.

    1. That project request is then reviewed by a member of your team and, if approved, becomes a live project.

  2. A project is created by a user, bypassing the request process.
