Custom User Roles

An in depth explanation for all permissions in Worksana

User Roles are very flexible in Worksana. Below is a list of each subsection of available permissions and their descriptions.

Admin Panel - These permissions control access to various modules within the Worksana Web Admin Panel

  • Admin Panel - Grants user access to the Admin Panel. You must also select at least one of Employees, Geofence, Jobs & Schedules, Overview, Reports, Timecards, or Tracking for this to work.

  • Department Supervisor - By default, a user will only have visibility in the system over employees within their own Department and/or Team. Turn this on if an admin or supervisor needs visibility over employees outside of their own assignment. An example of this would be someone who is assigned to the department "Office," but needs to see all employees in the organization.

  • Employees - Grants user access to the Employees module where employees can be added or edited.

  • Geofence - Grants the user the ability to add and edit geofences

  • Jobs & Schedules - Grants the user access to the Job Center. User can add/edit Jobs and tasks

  • Overview - Grants access to the dashboard, where basic company wide KPI's can be viewed

  • PTO (Paid Time Off) - Grants access to the Time Off Request module and PTO Settings

  • Reports - Grants access to the Reports module

  • Survey - Grants access to the Survey module, where you can create custom pre punch in surveys and enable meal break infraction surveys.

  • Timecards - Grants access to the Timecards module, where employee timecards can be viewed and edited

  • Tracking - Grants access to both the Current and Historic Tracking modules

  • Work Shift - Grants access to the Timefence (Scheduling) module. Users can add and edit Timefences

Settings - Permissions for various settings areas withini Worksana

  • Company Settings - Grants access to Basic Settings (date/time display preferences), notification settings, and must be on for an admin or supervisor to be able to add/edit employees and add/edit custom user roles, departments, and teams.

  • Organization - Grants access to add/edit Custom User Roles and the add/edit Departments/Teams

  • Payroll Settings - Grants access to the company's Payroll Settings and Payroll Schedule

  • Plugin Setting - Currently deprecated

Kiosk - Permissions for kiosk authentication preferences and whether a user can launch a kiosk session

  • Biometric Access - Turn this on if you'd like a kiosk user to be authenticated using facial recognition instead of a password.

    • Pin access - currently deprecated (use Enable pincode below)

  • Enable pincode - Turn this on if you'd like a kiosk user to be authenticated using a 4 digit pin code instead of a password

  • Kiosk Panel - Grants the associated user the ability to launch a kiosk session on a tablet or in a web browser

Mobile App - Controls various areas of access and restrictions in the Worksana mobile app

  • Mobile app - Grants access to the mobile app

  • Team Tracking - Allows the user to see live and historic clock in/out info for their assigned employees.

  • Crew Clock - Allows the user to clock in and out on behalf of their assigned employees.

  • Do not allow access to timeclock on app - Will allow the user to log into the mobile app, but the user will not be able to clock in or out. This can be useful if you'd like someone to be able to view their own timecards or PTO balances, but you do not want them to clock in/out through the app.

  • Create employee - Will allow the user to create employees directly from the mobile app

  • Create jobs - Allows the user to Create and Manage Jobs and Geofences directly through the mobile app

  • Geofence Restriction - Enable these to enforce various types of geofence restrictions

    • Punch-in - Employee must be within an assigned geofence to punch-in

    • Punch-out - Employee will be required to leave a correction request, and they're last known time in a geofence will be auto-stamped in the correction request if they attempt to punch-out outside of an assigned geofence

    • Meal start - Employee must be within an assigned geofence to start a meal break

    • Meal end - Employee must be within an assigned geofence to end a meal break

    • Job switch - Employee must be within the exact job's geofence(s) to clock into or switch to that specific Job

PTO - Permissions related to PTO functionality in the Worksana mobile app

  • Pto create - User will have the ability to create, view, approve, and reject PTO requests for their assigned employees.

  • Pto supervisor - User will have the ability to view, approve, and reject PTO requests for their assigned employees.

  • Pto view - User will have the ability to view PTO requests from their assigned employees.

Scheduling - Select type of Timefence restriction

  • Timefence restriction - Employee would not be able to clock-in before their restricted clock-in time

    • Timefence restriction override - Override allows the employee to clock-in early but forces them to leave a note explaining why

Miscellaneous

  • Applicant center - Grants access to the Applicant Center in the Admin Panel

  • Communication center - Grants access to the Communication Center in the Admin Panel

  • Job task time allocation - Enable if the employee will be either selecting Jobs/Tasks while on the clock or if an administrator needs the ability to edit Job/Task info in Timecards

  • Learning center - Grants access to the Learning Center in the Admin Panel

  • Survey - Enable if the employee needs to view pre punch-in or meal infraction surveys in the mobile app or kiosk
