How to administrate your itineraries

Itinerary - Page overview

Learn all about how to administrate your itineraries on the WeTravel Platform.

You can find the itineraries in the main menu, right next to your trips:

You have 3 pages within the itinerary: Itineraries, Library, and Archived Itineraries.

Itineraries:

This tab is where you will find all your active itineraries and where you will most likely do most of the work. You have the following selections inside this overview.

List or Card view

List view:

You can see the overview of your itineraries in a list form, and change the status with the dropdown menu.

Card view:

When selecting the card view, the itineraries will be shown as cards, with the main image showing them for easier navigation. You can change the status by dragging and dropping the itineraries to the desired column.

On the top of the columns, you can see at one glance how many itineraries there are in that column.

Changes made while in the list view will be immediately reflected on the card view and vice versa.

Search:

Typing the title or part of the title will show you all the itineraries that match your text, narrowing the results as you type.

Filter:

You can filter by owner, status, or both, and the list will only show the itineraries that comply with these criteria. To remove the selection, you can click on the Clear All button.

Create New Itinerary

Click the Create New Itinerary button to open an empty itinerary and start editing.

Name:

The name you have given your itinerary. You can edit this inside the itinerary builder once you open it.

In the card view, this is the title of the specific itinerary card.

Status:

There are three status options: draft, shared, and confirmed. These do not influence anything within WeTravel, so you can use them as best suits your needs. In the list view, they are shown as a drop-down menu, and in the card view, they are the different columns.

Owner:

If you work with a team and have them added as team members within WeTravel, you can give ownership of the itineraries to your team members. Clicking on the team member's name is the same as clicking on the row and will open the itinerary editor.

To change the owner, click on the 3 dots at the end of the itinerary and select “change owner”. You can now select which of your team members owns the itinerary.

In the list view, you will see the team member's complete name. In the card view, you will see their initials, and hovering over an image will show the full name.

NOTE: Even if a team member doesn't yet have editing permissions for the itineraries, you can still assign them to that specific team member.

Last Updated:

The date and time in your local timezone when the itinerary was last updated or changed. This also applies to anyone opening the itinerary without making any changes. On the card view, this is shown at the bottom of the itinerary card.

Edit, Preview, and 3 dot menu:

Hovering over any specific itinerary will show the pencil button to edit the itinerary. This does the same as clicking on the itinerary does, it opens the itinerary builder to start editing.

The eye icon will open the itinerary in a new tab, where you can preview the information built as if you were the client receiving it.

On the card view, these icons will appear on the itinerary image as you hover over it.

The three dots are the menu of the itinerary, where you can duplicate (copy), archive, or change the owner of the itinerary.

Library

Search:

You can use the full name or part of the name for any library item.

Last Updated:

The date and time (local to your computer) this library item was last updated.

Pencil Icon and Three dot menu:

Hovering over the library item will reveal the pencil icon. Clicking on the icon will do the same as clicking on the line; it will open the library item for editing.

When clicking on the three dots, you open the menu where you can duplicate (copy), rename, or delete the item.

Archived Itineraries

Once created, an itinerary cannot be permanently deleted. However, you can archive it to keep only relevant and valid itineraries visible.

Under archived itineraries, you will see the name and the date this itinerary was last edited. To edit or view the itinerary, go to the three-dot menu and select unarchive.
