Import your data for Count, Query, Summarize or to chat with Gen

How to use the Import feature

The import process is the same for all short-form data. Import your data for Count, Query or to chat with Gen using process outlined below.

Start on the Projects page, then select New project -> Import. Select the type of data you're importing -

Other data is for any short form data outside of survey or review data. Import call centre data or from online forums. Results may vary for data types outside of survey and review.

This step helps to contextualize your data, allowing us to ensure we apply the models that will generate the most accurate output from your dataset. Select the appropriate Industry and project type from the dropdown boxes, and give your import a name to help you easily keep track of and combine files.

Drag and drop or browse and select; Please note that only CSV files are supported

Tick the box to confirm that your file doesn’t contain any legal, medical, or political data and that you have full permission to use it. (For more details, view our Data Policy.) When you're ready to map your columns, click next.

Here, you’ll review the columns in your dataset to confirm how you’d like to proceed with your upload.

Important note: you must have a response date column to successfully upload. Only one response date column is allowed per file.

Make sure each required column is ticked/selected. You can also remap column types between the following: Open text, Custom variable, NPS and Response date.

When selecting your open text questions for count, giving your question context is really helpful in getting the best output for your count. Typically in a survey we might follow-up a rating question with ‘What is the reason for your rating?’. To get more specific themes and sub-themes in your output, you might consider changing this in the data mapping stage to something like ‘Why are you likely or unlikely to recommend <brand> to your friends or family?’, or ‘Why are you likely or unlikely to continue using <brand> as your energy supplier?’

To rename a column, select the text box under column name and type in your preferred name.

Hey Yabble Count

Select the columns you’d like to run Hey Yabble Count on.

You can select all columns by ticking the top left corner box. Deselect any columns you don’t wish to count. We only apply counting to valid data points where no errors or null values have been detected.

To get even more value from your data, create a Query with Hey Yabble Query.

To complete your import, review your details and available credits. Once you’re ready, hit Complete to launch your Count.


Common reasons for import failure

If your upload fails and you get an error message, double-check the below:

  • Date format (dd-mm-yyyy hh:mm:ss or dd-mm-yyyy)

  • Empty rows in your file. Check your CSV file and ensure you don’t have any empty rows. You can check this by opening TextEditor or by opening your Excel file.

  • Long responses: There is a character limit of 9000 for short form data. If there are responses longer than 9000, they will fail. We suggest splitting it into smaller chunks and re-uploading.

  • Column name is too long: The max character limit for a column or custom variable name is 250. Shorten the name and re-upload

You can check your failure reasons by clicking into your project, click 'Failed' and then click the eye in the pop-up modal. This will tell you why your file has failed and show affected rows that need to be corrected before you can re-import.
