Prepare your data for counting with Hey Yabble

Are you ready to import your short form data, run a Count or chat with Gen? Follow our easy checklist to ensure your data file will process successfully:

  • Fill out your header columns (Row 1). All header columns will show up in your analyses. Ensure you're adding the actual question to the header column, not Q1/A1 etc. This helps to give the AI context and better theme your responses.

Giving your question context is really helpful in getting the best output for your count. Typically in a survey we might follow-up a rating question with ‘What is the reason for your rating?’. To get more specific themes and sub-themes in your output, you might consider changing this in your file to something like ‘Why are you likely or unlikely to recommend <brand> to your friends or family?’, or ‘Why are you likely or unlikely to continue using <brand> as your energy supplier?’

  • Clean your data file. Clear your file of junk and gibberish responses. This will ensure you’re only paying for insights from high-quality data. Our engine will also automatically clear out these type of responses.

  • Add a date column, and use the digestible format (dd-mm-yyyy hh:mm:ss or dd-mm-yyyy). Every upload requires a date column. Use your respondents’ completion date or the survey date, or select the day of your import if the date isn't relevant to you. Inputting an accurate date now will allow use of the trending feature for longitudinal data.

  • Upload all the data you want to analyze. Note down the questions of all verbatims you want to analyze.

  • Add custom variables; they’re free! You can upload as many custom variables as you want. These help you filter your data once it’s been processed.

  • Save your file as a CSV. Make sure you're uploading CSV files only.

Common reasons for import failure

If your upload fails and you get an error message, double-check the below:

  • You need a date column and the date format should be dd-mm-yyyy hh:mm:ss or dd-mm-yyyy. If you don't have a response date, just adding today's date is fine. It cannot be dates in the future.

  • Too many columns. You can include a maximum of 100 columns in your data upload. If you need to add more than this, please contact a Yabble team member.

  • Not enough responses to count. You should have 10 or more responses to a question for counting. Anything less than this will cause a file failure. We suggest not counting anything below this as the output may not be useful for you.

  • Empty rows in your file. Check your CSV file and ensure you don’t have any empty rows. You can check this by opening TextEditor or by opening your Excel file.

  • Long responses: There is a character limit of 9000 for short form data. If there are responses longer than 9000, they will fail. We suggest splitting it into smaller chunks and re-uploading.

  • Column name is too long: The max character limit for a column or custom variable name is 250. Shorten the name and re-upload

You can check your failure reasons by clicking into your project, click 'Failed' and then click the eye in the pop-up modal. This will tell you why your file has failed and show affected rows that need to be corrected before you can re-import.
