Setting default contract options

For every contract created, Kube uses the contract defaults at the system level to determine the fields it pre-populates and how charges are created.

You can select defaults for the following settings:

  • ySign Link Expiration

  • Move Out Communication / ySign Express Link Expiration

  • Maximum Move Out Communication / ySign Express Link Expiration

  • Use Move Out Communication

    • Set as Default on Termination

  • Automatic Space Hold for ySign and ySign Express

  • Notice to Vacate

  • Require NTV Before Termination

  • Separate Security Deposit and Setup Fees

    • Invoice Automatically on Activation

      • Custom Net Terms

    • Invoice Service Retainer Separately

      • Custom Net Terms

    • Exclude From Dunning

NOTE: Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all these options may not be available or displayed.

To set contract defaults

  1. Select your Personal Profile in the top menu and select System Settings from the drop-down menu. The Operator Profile screen appears.

  2. Select the Settings tab.

  3. Click the Edit button.

  4. In the Contract Defaults section, make your selections. See the end of this article for a screen reference.

  5. Click Save.

ySign Link Expiration
​

Enter the number of hours a company has before the link sent through ySign expires.

Move Out Communication / ySign Express Link Expiration

Enter the number of hours a company has before the links sent through ySign Express or the Move Out Communication expire.

Maximum Move Out Communication / ySign Express Link Expiration

Set the maximum number of hours that can be set for the link expiration. This limit is imposed on the field defined above and at the contract level.

Use Move Out Communication

Select whether the Move Out Communication option and the Move Out Refund Form options appear in contracts and on the company move out screen. Additionally, select whether the option to send the Move Out Communication when terminating a contract is selected by default.

Automatic Space Hold for ySign and ySign Express

Select whether spaces are automatically held when using ySign or ySign Express as the communication type. When selected and these communication methods are used, the space is held for the same number of hours as the link expiration time set up for ySign and ySign Express.

Notice to Vacate

Enter the number of days or months a member has before a contract's end date to notify the property of their intention to leave or to modify their contract.

TIP: This option can also be set for each property by navigating to Properties > select property > Setup > Receivables > Contract Options.

Require NTV Before Termination

Select whether a user must complete a Notice to Vacate before they can proceed to the termination stage gate.

Separate Security Deposit and Setup Fees

Activate this option to separate security deposit and setup fee charges so they are listed separately from their space, amenity, or package. These charges can then be invoiced separately from the other charges on the contract. If you do not immediately invoice contract charges, you can select to have these charges separated when the automatic invoicing scheduled task runs. For more information, see Scheduled Tasks and Setting company split invoicing settings.

CAUTION: Once this setting has been activated, it cannot be deactivated.

Additionally, the following options can be included:

Invoice Automatically on Activation: Select whether the security deposit charges and setup fees generated from the contract should be invoiced when the contract activates.

Custom Net Terms: Select whether the security deposit charges and setup fees invoice from the contract's activation should have a different due date from the regularly generated invoices. The due date of the invoice will be the contract's activation date plus the number of days entered in this field.

Invoice Security Deposit Separately: Select whether the security deposit should be on a separate invoice from all other charges. The Separate Security Deposit and Setup Fees setting must be enabled for this option to be available.

Custom Net Terms: Select whether the security deposit invoice from the contract's activation should have a different due date from the regularly generated invoices. The due date of the invoice will be the contract's activation date plus the number of days entered in this field.

Exclude from Dunning: Select whether security deposit invoices should be excluded from late fees.

Invoice Late Fee Charge Separately

Select this option if late fee charges should be invoiced separately from other charges.

Invoice Setup Fees and One Time Charges with First Month's Charges

Select this option if the post month and charge dates of a contract's setup fees and one-time charges should match the post month and charge dates of a contract's first month's or monthly charges.

For example, the current date is March 1st, and the contract start date is September 1st. When this option is selected, any setup fees and one time charges, instead of having a post month of March and charge date of March 1st, will have September for these dates.

Disable Backdated Contracts

Select this option if contracts should not have move in dates in the past. When this option is active, only the current date and future dates can be selected when creating a contract.

Automatically Activate ySign Express Contracts

Use this option to automatically activate a contract where ySign Express was used as the communication method and the authorized signatory has completed the signing process.

NOTE: Allow up to 15 minutes from the time the signatory signed for the contract to show activated.

Automatically Activate ySign Contracts

Use this option to automatically activate ySign communicated contracts once all signing requirements are met.

NOTE: Allow up to 15 minutes from the time signing completes for the contract to show activated.

Out of Policy - Penalty Calculation

Enable this setting if penalty options should appear in contract amendments when a space is removed, the contract's overall capacity decreases, the term is changed, or the value of the contract decreases.

Auto Generate Credit Note

When a contract is terminated or an amendment generates a security deposit adjustment where an amount is due to the member, select whether this amount should automatically generate a credit note instead of manually through the Move Out menu.

Standard Check-In Frequency

Set the number of months between Standard Check-Ins for a company.

Renewal Check-Ins Creation Based on Contract Expiration (For Space)

For contracts with spaces, set the number of days before the contract's expiration that a renewal check in is created. This setting is hidden if the Notice to Vacate service is active.

Renewal Check-Ins Creation Based on Contract Expiration (For Others)

For contracts with only packages and amenities, set the number of days before the contract's expiration that a renewal check in is created. This setting is hidden if the Notice to Vacate service is active.

Renewal Check-Ins Creation Based on Notice Date

Set the number of days before a contract's Notice to Vacate (NTV) deadline that a Renewal Check-In should generate. This option only appears if the Notice to Vacate service is active.

Click to Cancel Termination Options

When a member cancels their contract through the Member Portal, set whether the contract should terminate immediately or at the end of the original term. This setting only applies to online contracts from properties where Click to Cancel has been turned on. For more information, see Setting property default contract options.

Set Business Information Per Property - ySign Express

When set to Yes, the mailing and billing address, along with any applicable VAT or registration numbers, are saved to the property associated with the contract during the ySign Express form submission.
