Scheduled tasks automate specific functions for each of your properties, such as creating monthly invoices and resetting member hours/credits. You can edit most scheduled tasks once by submitting a development ticket. For more information, see Reviewing and editing a scheduled task and contact Yardi technical support.

Scheduled tasks run automatically early in the morning in your local time zone on the date and time listed in the Next Run column of the Scheduled Tasks screen. If a scheduled task is not scheduled to be run on that day, Kube skips the scheduled task in the run sequence.
This section describes scheduled tasks.

Depending on your assigned role and permissions and the version of Kube your organization uses, some or all tof hese menus or services may not be available or displayed.
You can manually edit certain configuration options for the Invoices, Payments, and Late Fees scheduled tasks at any time. See the table below for more information.
The following graphic shows the Kube scheduled tasks in the order they run:
Terminate Contracts | Daily task where Kube automatically terminates contracts set to terminate the day the scheduled task runs. This task cannot be changed. |
Renew Contracts | Daily task where Kube automatically renews contracts set to renew the day the scheduled task runs. This task cannot be changed. |
Invoices | Date when Kube creates invoices for open charges set to automatically invoice. Kube invoices charges based on the charge date. This task runs monthly.
NOTE: You can edit the invoice settings at any time to choose the day that Kube generates invoices and the day that invoices are due. If you enable the Do Not Consider Open Charges After This Date option, Kube does not include charges dated after the selected day when creating invoices. Once charge dates fall before the selected date, Kube invoices the charges on the date you selected.
You can select whether invoices automatically send to your companies. For more information, see Setting whether invoicing is automatic. |
Monthly Posting | Date when Kube posts recurring contract charges. This task runs monthly.
NOTE: You can choose the day that recurring contract charges post. If charges are set to post on the first day of the month, charges can either post for that month (Current Month) or for the following month (Current + 1 Month). If charges post on any day after the first day of the month, the only option will be to post for the next month (Current + 1).
For example, let's imagine the month is January. If charges post on the first of the month, charges post for January when Current Month is selected. If you select Current + 1 Month, charges post for February.
If charges post on the 25th of the month, charges post for February (Current + 1 Month). You could not post charges for the current month (January) because the majority of the month's charges would already have occurred.
Furthermore, you can choose to have charges post with a date previous to the posting date. For example, if your posting date is the 25th but you want charges to reflect the last date of the charge cycle the 24th, enable the Charge Day option. |
Escalate Contracts | Monthly task where Kube checks if a contract is due for a price escalation. Kube automatically adjusts the price of products and services on a contract based on its Price Escalation setting. For more information about this setting, see Creating a contract. This task cannot be changed. |
Amend Contracts | Daily task where Kube automatically posts changes to amended contracts set to take effect the day the scheduled task runs. This task cannot be changed. |
Add Hours/Credits from Contracts | Daily task where Kube automatically adds or subtracts member hours/credits for contracts activated, terminated, or amended on the day the scheduled task runs. This task cannot be changed. |
Payments | Daily task where Kube runs automatic payments and posts those payments against outstanding company balances. When this task runs, Kube takes a single payment for all of a company's invoiced, unpaid charges set to be paid.
NOTE: You can edit the payment attempt schedule at any time to choose how many days after the invoice due date to run additional attempts to collect payment, should the initial attempt fail. After a payment failure, Kube attempts to collect payment three additional times.
You can select whether companies make automatic payment. For more information, see Setting whether companies make automatic payments. |
Late Fees | Daily task where Kube automatically charges companies late fees if they have not paid invoices due that day.
NOTE: You can edit the late fee options at any time to choose the type and amount of late fee you want to use. You can also select additional configuration options. For more information, see Adding a late fee to a property. |
Empty Shopping Carts | Date when Kube clears all items from shopping carts in the Prospect Portal that are two days old. This task runs daily. |
Reset Hours/Credits/Coworking Passes & Add Future Bookings | Date when Kube resets recurring member and company hours/credits and member and company recurring coworking passes to the monthly number allocated in active contracts. Also the date when Kube deducts the number of hours/credits used in future short-term bookings from member and company hour or credit balances. This task runs monthly.
CAUTION: You can choose the date that Kube resets hours/credits, but you can only make this selection once. After you click Save, Kube does not allow you to change the date again.
NOTE: When you change the date, Kube processes all future bookings that fall between the present date and the new selected date. Going forward, Kube resets hours/credits on the selected date.
Kube does not include long-term bookings from contracts in deductions. |
Data, Voice & Access Control Future Activation | Daily task where Kube activates data, voice, and access control services for contracts set to activate that day. |
Check Out Coworking Passes | Daily task where Kube checks out any coworking pass users still checked in when the scheduled task runs. |
Update Report Stats | Daily task that updates report statistics. Click the Run Now button to manually update report statistics. |
Refresh Google Calendar Token | Daily task where Kube refreshes the Google Calendar token used to sync Google Calendar and Kube, should you use Google Calendar to manage third-party bookings. For more information, see Google Calendar overview. |
Update Medusa Account Expiry Date | Daily task where Kube updates account expiration dates for data/Wi-Fi accounts. |
Access Control | Daily task where Kube removes temporary accesses that were granted from bookings and other tasks. |
Generate Member Check-Ins | Daily task where Kube checks for new contracts a company may have. If Kube finds a company who has a new contract within the last thirty days or 120 days, Kube automatically generates a check-in task. |
Cancelled Paid Bookings Adjustment | Daily task where Kube makes accounting adjustments to bookings that have been canceled, but were already paid for. |
Printing Overage Credit Task | Daily task where Kube adjusts and resets a company's printing overages. |
Cancel Future Bookings | Daily task where Kube automatically cancels bookings for a member or company that has been archived. This task only appears and runs if the Cancel Future Bookings (Company/Member Archive) or the Cancel Future Bookings (No Contract) settings have been activated. For more information, see Setting booking options. |
Adjust Booking Overages | Daily task where Kube checks for available credits, and adjusts bookings with overages to use any credits that have become available. This task only appears and runs if the Adjust Booking Overages setting has been activated. For more information, see Setting booking options. |
