Adding an internal user

Internal users are Kube users who are permitted to perform tasks in Kube on behalf of your organization.

During the initial configuration of your organization's account, Kube creates an internal company for your organization and uses your organization's SPOC (single point of contact) listed on the Operator Details screen as the internal company's primary contact. Every time you add a new internal user, Kube adds the internal user as an internal member of the company. You can update your organization's primary contact from your internal company's Company Essentials screen. NOTE: Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.

To add an internal user

  1. Select your Personal Profile in the top menu and select System Settings from the drop-down menu. The Operator Details screen appears.

  2. Select the Security then Internal Users tabs.

  3. Click the Add button.

  4. Complete the fields. For field descriptions, see the New Internal User Screen Reference at the end of this article.

  5. Click Save.


    TIP: If you want to make an internal user the primary contact for your organization, you can do so from the Company Essentials screen of your organization's internal company. For more information, see Reviewing and editing company information.

Email/Username

Internal user's email address that is also their Kube username.

Role

Internal user's position in your organization that determines their permissions to access and perform functions in Kube.

TIP: The internal user's role should match the types of tasks they perform in Kube. Limiting internal user access to sensitive member information helps keep that information secure.

Set Default Property

Select Yes if the dashboards should load property information when an internal user first logs in. Select No if nothing should load on the dashboards until the internal user selects a filter.

Default Property

Select the property that the internal user's dashboards should load when they first log in. Otherwise, leave this field empty, and property information loads based on the Property Access List selections.

Property Access List

Leave this field empty if the internal user should have access to all properties. Otherwise, select the property list that contains the properties the internal user should have access to.

Culture

Determines the formatting of dates, currency, and other culture-specific details in Kube. For more information, see Assigning a culture setting to an internal user.

Support Ticket Assignee

Set this option if the internal user should appear in the Assignee field of support tickets.

Access to All Open Charges

Select whether the internal user is allowed to create open charges for any amenity. If left unselected, the internal user can only create open charges for amenities set to allow open charges. For more information about this setting, see the Pricing section in Adding a standard amenity.

Billing Period Access: Past

The number of months an internal user can post a charge or payment in the past. This field defaults to the User Security Template, or a custom value can be entered. For more information about selecting a user security template, see Setting the default user security template.

Billing Period Access: Future

The number of months an internal user can post a charge or payment in the future. This field defaults to the User Security Template, or a custom value can be entered. For more information about selecting a user security template, see Setting the default user security template.

Default Dashboard

Select which home page dashboard an internal user first sees when logging in. For more information about the home page dashboards, see Home Page Dashboards.

Summary Tiles

Set whether the dashboard tiles are displayed or hidden on each dashboard when Kube loads.
