Adding a renewal workflow

Contract renewal workflows allow you to choose the default amendment type, document template, and whether renewal pricing for the products and services on the contract is used. This article describes adding a new renewal workflow.

NOTE: Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all these menus or services may not be available or displayed.

To add a renewal workflow

  1. Select your Personal Profile in the top menu and select System Settings in the drop-down menu. The Operator Profile screen appears.

  2. Select Workflows in the side menu. The Contract Approvals screen appears.

  3. Select the Amendments tab then the Renewals tab. The Renewal Requirements menu appears.

  4. Click the Add button for either the Operator or Property. The Add Renewal Requirement menu appears.


    TIP: The process for adding an operator or property workflow is almost identical. Differences are noted in the Add Renewal Workflow Screen Reference at the end of this article.


  5. Complete the fields. For field descriptions, see the Add Renewal Workflow Screen Reference at the end of this article.

  6. Click Save.

Property -or- Property List

Select the property or property list to which the renewal workflow applies. This field does not appear for the operator level renewal workflow.

Amendment Type

Select the amendment type that gets automatically applied to End of Term Renewals. For more information about adding contract and amendment types, see Adding a contract type.

Document Template

Select the template that gets automatically selected at the Communicate stage gate. For more information about adding a contract template, see Creating a custom invoice template and Creating a custom contract template.

Use Renewal Price

Select this option to apply the renewal price for products and services on a contract when creating an End of Term Renewal. This option only appears if you are subscribed to the Pricing Management service. For more information about pricing management, see Adding a pricing management forecast.

If this option is selected, Kube checks whether the renewal price is greater or less than the current contract price. If the renewal price is greater, Kube applies the renewal price. If the contract price is greater, Kube retains the current contract price. These prices are used as reference and can be adjusted as desired, but may be subject to approval.
