Adding a promotion and setting its priority

Promotions are a pre-approved range of discounts that can be applied to spaces and amenities when they are added to a contract. When a promotion is used in a contract, and a discount within that promotion's range is applied, contract approvals are ignored. Promotions are customizable. You select which spaces and amenities are eligible for the promotion, and whether the promotion and its discount are automatically applied.

This article describes adding a promotion and changing its priority.

NOTE: Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.

TIP: When adding a promotion, you can copy data from an existing active or archived promotion. Locate the promotion you would like to copy and click the Additional Options button. Select Copy from the drop-down menu. The New Promotion screen appears with the fields populated according to selections made in the original promotion. If the original promotion's end date is in the past, you must enter a new end date.

To add a promotion

  1. Select your Personal Profile in the top menu and select System Settings from the drop-down menu. The Operator Profile screen appears.

  2. Select Coupons & Promotions in the side menu. The Coupons menu appears.

  3. Select the Promotions tab.

  4. Click Add.

  5. Complete the fields. For field descriptions, see the New promotion screen reference at the end of this article.

  6. Click Save.

To adjust a promotion's priority

When you add a promotion, you set whether it is applied automatically. To control which promotion takes precedence over another, when a space or amenity is eligible for multiple promotions, you set its priority. Promotions at the top of the list are applied before promotions lower on the list.

  1. Select your Personal Profile in the top menu and select System Settings from the drop-down menu. The Operator Profile screen appears.

  2. Select Coupons & Promotions in the side menu. The Coupons menu appears.

  3. Select the Promotions tab.

  4. In the priority column, click the reorder button and drag the promotion to the desired position.

  5. Kube automatically saves the changes.

Promotion Name

For internal reference. The name must be unique and cannot be a previous promotion's name.

Promotion Code

Code used to apply the promotion to a space or amenity on a contract. The code is either applied automatically or manually. This code must be unique and not previously used.

Property

Property or property list where the promotion is valid. The locale options, such as country, disappear if a property is selected.

Occupancy

This field appears when a property list is selected in the Property field. This field limits the promotion to the properties from the list that fall within the occupancy range in this field.

Entering an occupancy range in this field makes the promotion dynamic as occupancy changes for the properties in the list.

Locale

TIP: One or all of these fields can be used to narrow down which properties a promotion is valid at. These fields are hidden if you select a property list.

Country: Limits the promotion to properties located in the country selected.


Territory: Limits the promotion to properties with this territory. This field only appears if territory custom fields have been added. For more information, see Adding a territory custom field.


Market: Limits the promotion to properties in this market. This field only appears if market custom fields have been added. For more information, see Adding a market custom field.


Region: Limits the promotion to properties in this region. This field only appears if region custom fields have been added. For more information, see Adding a region custom field.

Valid For:

TIP: The fields below update based on the selections made here.

Space Types: Select space types eligible for the promotion.


Individual Spaces: Select individual spaces eligible for the promotion.


Amenity Types: Select amenity types eligible for the promotion. A Subtype field appears for amenity types with multiple subtypes. For example, Memberships.


Individual Amenities: Select individual amenities eligible for the promotion.

Space Criteria

NOTE: These options only appear when Space Types or Individual Spaces are selected.

Capacity: Enter a capacity range.

Example: If the range is set to 1-15 and no other criteria are selected, any spaces with a capacity of 1 through 15 are eligible for the promotion.


Work Units: Enter the work units that a space must have to be eligible for the promotion. This field appears only if the custom field Work Units is active. For more information, see Activating space options.


Seat Count: Enter a space seat count that is eligible for the promotion. This field appears only if the custom field Seat Count is active. For more information, see Activating space options.

Start/End Dates

Date range the promotion is active. The End Date must be the current date or later.

NOTE: Kube archives the promotion after the End Date.

Auto Apply Promotions

Select this option to apply the promotion code to eligible spaces and amenities automatically. This option does not automatically apply the discount.

Auto Apply Max Promotion Discount

Select this option to apply the maximum eligible discount value to spaces and amenities automatically when the promotion is either automatically or manually applied.

Discount Values (%)

MTM: Enter the maximum percentage and number of free months a space or amenity can be discounted on a Month-to-Month (MTM) contract before additional approval may be required. For more information about contract approvals, see Contract approval flow overview.

2-60 Months: Enter the maximum percentage and number of free months a space can be discounted based on the contract term, before additional approval may be required.

Example: If the Max (%) field is set to 15% and the Free Months field is set to 3 in the 6-11 (M) row, the discount and/or custom pricing on a space can have a cumulative discount total of 15% and three of the months set to Free before additional approval may be required.

  • Space Retail = $100.00

    • $ Discount = $20 (20%)

    • Approval Required (A Contract Approval Workflow must be configured to trigger the approval)

Discount Values (Flat Rate)

MTM: Enter the maximum flat currency amount that a space or amenity can be discounted on a Month-to-Month (MTM) contract before additional approval may be required. For more information about contract approvals, see Contract approval flow overview.

2-60 Months: Enter the maximum flat currency amount that a space or amenity can be discounted based on the contract term, before additional approval may be required.

Example: If the Max Flat Rate field is set to 1000 in the 6-11 (M) row, the discount and/or custom pricing on a space can have a cumulative discount total of 1000 before additional approval may be required.

  • Space Retail = ¥20000

    • ¥ Discount = 1500

    • Approval Required (A Contract Approval Workflow must be configured to trigger the approval)
