Using the move out communication

The move out communication flow allows your organization to request a signature from the member or authorized signatories to acknowledge they are terminating the entirety or a portion of their active contract. This flow additionally collects banking information from the member or authorized signatories to confirm where any balances due to the company are refunded to.

This article describes using the move out communication flow.

NOTES:

  • Depending on your assigned role and permissions, and the version of Kube your organization uses, some or all of these menus or services may not be available or displayed.

  • Some contract stages and tasks require approval before you can proceed. For more information, see Contract approval flow overview.

Starting the move out communication flow process

  1. Select Customers from the top menu and then Contracts from the drop down. The contracts dashboard appears.

  2. Select a contract from the grid. The contract window appears.


    TIP: The contract must be Active for this next step to be available. If you need to create or activate a contract, see Creating a contract and Activating a contract.


  3. In the contract window, select Terminate from the side menu. For more information about terminating a contract, see Terminating a contract.

  4. Select the Move Out Communication Flow square select button. Complete the termination menu fields, and click Terminate Contract. The Move Out menu appears in the side menu.


    TIP: Click the signatories link that appears to add or change signatories or change the move out communication link expiration time.


  5. Select Move Out in the side menu. See the end of this article for a screen reference.

Member move out signing process

  1. The member receives the New Move Out Request email. The member clicks the link in the email. The Move Out Communication form appears.

  2. The member reviews and completes the form. See the end of this article for an example.

  3. The member enters their name in the Electronic Signature field and clicks Add Signature.

  4. Kube updates the Move Out Communication Timeline and completes the flow.

Resend

Use this option to resend the New Move Out Request email to the signatories.

Cancel Signature

Cancels the current move out communication flow and allows you to add or change the signatories and change the link expiration time.

Complete Without Signature

Completes the flow without the move out communication form being completed by the signatories. Note, this cannot be undone.

Refresh

Refresh the move out communication flow timeline.

View

Opens a new window to view the move out communication form.
