Overview
This guide walks through how to create a new event in Yayem using the current creation flow. You’ll configure the event basics, location details, schedule, access rules, and pricing before publishing it live.
Events can be in-person, virtual, public, members-only, free, or paid — with flexible guest and pricing options.
1. Navigate to New Event
In Admin, go to:
Experiences → New Event
This opens the experience creation form, organized into five expandable sections:

Access
Pricing
You can move forward using Next, or expand and collapse sections in any order.
2. Basics
This section defines how the experience appears across the app.
Required
Title
Enter the name of the experience (max 50 characters).Upload Image
Upload a square image used across the app.Recommended size: 500 × 500
Formats: JPG, PNG, WEBP
Max size: 10MB

Description
Add a short description to set expectations for attendees.
3. Location
This section controls where and how the experience takes place.
Required
Host
Select the host or organizing entity for the experience.
Optional
Capacity
Set the maximum number of total attendees. Leave blank for unlimited capacity.
Experience Type Toggles
Partner Event
Displays a “Partner” tag on the experience in the mobile app.Trip
Marks the experience as a trip and displays it in the Trips section of the app.Virtual Experience
Indicates the experience is virtual. Members will receive access to a livestream link.
4. Schedule
Define when the experience occurs.

Add Time Slot
Add additional start/end times for the same date.
Add Another Date
Add additional dates under the same experience.
This is useful for experiences that run multiple sessions under a single listing.
5. Access
Control who can see and book the experience.
Open to Public
When enabled, non-members can view and book the experience via your public web app.Allow Guests
Allows members to bring guests.Guests Per Member
Set how many guests each member can bring.
Example: Enter1to allow one guest per member.
6. Pricing
Set how much members and non-members pay.
Base Pricing
Free Experience
Enable to make the experience free for all members.
Member Price
The standard price members pay unless tiered pricing is enabled.
Guest Price
Price a member will pay for alotted guest.
Non-Member Price
The standard price non-members pay when the experience is open to the public.
Advanced Pricing Options
Tiered Pricing
Enable to set different prices based on membership tier.
When enabled, you’ll see a price field for each membership tier. Enter the desired price per tier.
Hotel Guest Pricing (Mews Integration)
Enable to offer a special price for hotel guests.
Guests with an active Mews reservation within the next 90 days automatically receive this price when booking with the same email.
If a hotel guest is also a member, the member price overrides the hotel guest price.

Additional Options
Add External Link
Add a custom hyperlink to the experience (e.g. itinerary, RSVP form, or external details).Late Cancellation Hours
Define how many hours before the experience starts cancellations are considered late.
7. Publish the Experience
At the bottom of the page:
Back
Returns to the previous section.
Publish
Publishes the experience and makes it available for booking.
Once published, the experience appears in the mobile app — and in the public web app if public access is enabled.
Admin Tips
Upload a clear, compelling image — it has the biggest impact on engagement.
Double-check access and guest rules before publishing.
Use tiered pricing sparingly to keep booking simple.
If an experience includes multiple dates or sessions, confirm all time slots before publishing.
