Creating New Experiences

Set up event details and publish for member registration

Overview

Use this guide to build a new community event entirely in Yayem — from selecting the date and venue, through pricing and attendee settings, to publishing and registration.


1. Navigate to the Create Experience Page

  • In Admin, go to: Experiences → New.

  • A new experience form will open.


2. Add Event Details

  • Title: Enter the event name.

  • Description: Provide a summary (what attendees should expect).

  • Tags: Select relevant tags for filtering/search. Note: you cannot create new tags yourself—contact the Yayem team to add new ones.

  • Images: Upload a main image (and optional “Luma” image). Ensure file size is ≤ 10 MB.


3. Set the Location

  • Type: Choose the location type (e.g., Venue, Virtual, Hybrid).

  • Place: Select from the dropdown list of places. (If the correct place isn’t listed, add it in “Places” first.)

  • Address: Auto-fills when you select the place; you may add room/floor details manually.


4. Manage Attendees

  • Operator: Choose the host or organizer of the event.

  • Capacity Limit: Set the maximum number of attendees.

  • Access Type: Select one:

    • Members & Guests – Members can bring guests (only for in-person, hybrid, or virtual types).

    • Public – Open to everyone (including non-members).

  • Guest List Capacity: (If “Members & Guests”) set how many guests each member may bring.

⚡︎ Add "0" to Guests List Capacity to prevent guest signups!

  • External Booking Link (optional): Use if registration is handled outside Yayem.

  • Ritual Label (optional): Flag the event as a “Ritual” — this is a visual tag only, no effect on scheduling.

  • Late Cancellation Hours: Define the cut-off for refunds (e.g. 24 h means no refunds after that time).


5. Pricing Options

  • Free Experience: Mark as free for all.

  • Public Price: Set price for non-members.

  • Members & Guests Price: Set price for members and their guests.

  • Tiered Pricing: Set custom prices per membership tier.

  • Hotel Guest Price (if relevant): Set dedicated price or free for hotel guests.

  • No-Show Fee: Set a fee for members who RSVP but do not attend. Any member not checked in within two hours after end may be charged.

  • Currency: Automatically applies based on the place’s location.

6. Schedule the Experience

  • Date: Select the date on the calendar.

  • Start & End Time: Enter when the event begins and ends.

  • Multiple Sessions: Click the green “+” button to add additional sessions (same event, multiple dates/times). Use the “x” to remove any.

⚡︎ If multiple sessions, when viewing the experience in admin, look in the top right corner and use the dropdown to navigate between each session.


7. Preview & Publish

  • Preview Panel: Shows how the event will appear to members.

  • Save as Draft: Stores the experience for later editing; it is not visible to members.

  • Publish: Makes the experience live and open for registration.


FAQ

How do I save an event in Draft instead of publishing it?

  • Create the experience and fill required fields (title, description ≥ 100 characters, tags, image, capacity, access type).

  • Instead of clicking Publish, select Save in Draft. The event remains internal and editable.

Is there a recurring event feature?

  • Not currently. If you need multiple sessions, you must enter each date/time manually via the “+” button.


Admin Tips

  • Use descriptive titles and images to improve event engagement.

  • Check capacity and guest limits early to avoid overbooking.

  • Double-check pricing settings especially when applying tier-specific or guest pricing.

  • Prior to publishing, review the preview panel to ensure accurate layout and branding.

  • Monitor “Save as Draft” sessions to ensure they get published when ready.
