yayloh has an advanced two-way Ongoing integration, where warehouse personnel finds returned items pre-filled in Ongoing. If they choose to discard or accept a returned product, we make this information available to the customer support team using the yayloh dashboard in the form of inspection status.
Note: For this integration set-up, one needs admin rights in an ongoing system, for example, 3PL or Ongoing technical support.
With the yayloh Ongoing integration, retailers will be able to:
Automatically create return orders in their Ongoing system when a return request arrives at yayloh.
Automatically update the inspection status of that return request when warehouse staff inspects and updates a return order in the Ongoing WMS.
Set-up:
We need you to create a new API user for yayloh and add a yayloh webhook in your ongoing. You can share the following credentials :
Create a new API user for yayloh and share the created:
Ongoing Username
Ongoing Password
Ongoing Account Url
Goods owner ID
In the terminology of Ongoing WMS, the customers of a warehouse are goods owners. Because a warehouse can potentially have more than one customer (goods owner), we need the goods owner ID assigned to you.
Ongoing webhook
Configure the Ongoing webhook to send data to the yayloh generic webhook by adding https://prod-generic-webhook-valines.yayloh.com as a webhook URL in Ongoing to be triggered on update of return order.
How to mark a yayloh return order as returned in Ongoing? (warehouse personnel use)
yayloh integration creates a return order and links it to the outgoing order.
Find the order in the order list >> select return.
Return order is pre-filled in the return view.
Mark the goods as returned. If an item is not ok, remember to mark it as 'Scrap' Instead. This will import the not ok status to yayloh.
The reasons for return will be taken from the return order.
Managing inspected returns in yayloh dashboard
It might take a few minutes after an item is returned or marked as scrap in Ongoing for the status to be updated in the yayloh back office for the customer support team.
Open yayloh dashboard and select “Manage".
Click on “In progress” to see ongoing return orders.
Click on the drop down on upper left side.
Select “inspected” from the drop down.
Click on the order ID to see the inspection status at item level.
The inspection status is OK if the warehouse marked the return as returned in Ongoing.
The inspection status is Not OK if the warehouse marked the return as Scrap in Ongoing.
How Yayloh and Ongoing Integration Works?
Creating Return Orders
Yayloh creates return orders in Ongoing by matching outbound orders using:
Order creation date (±5 days)
Customer email
If there are delays in syncing orders between Shopify/Centra and Ongoing, or if an outbound order isn’t in Ongoing within the 10-day window:
yayloh cannot create a return order.
The warehouse would need to create the return order manually. Therefore, the warehouse inspection status won’t update in yayloh.
