🧍 How to Set Up the "Request Action" Operation

📝 Overview

The "Request Action" operation is a manual operation that allows you to request input from a designated user.

Review the request details and enter the required information using the input form.

This action is useful when you want to include manual input as part of your workflow.


🛠️ How to Set Up

Enter the details of the information you want the assignee to provide.

You can also include outputs and attach files to the request.

Next, configure the input form as needed by clicking + Add form field.

The following input field types are available:

  • Text

  • Long answer text

  • List

  • Number

  • Date

  • Files

  • Dropdown (set options from retrieved values)

  • Dropdown

  • Checkboxes (set options from retrieved values)

  • Checkboxes


👥 Behavior by Assignee Type

Common Items

The following options are available depending on the assignee type:

  • Mark as Complete – Available to all assignees.

  • Stop workflow – Available to all assignees except external users.

  • Submit Form – Available to all assignees.

Workflow Initiator

  • The task request is sent to the user who started the workflow.

  • If the user who started the workflow does not have a Yoom account, the task request is sent to the creator of the workflow instead.

  • The task request also appears in My Tasks.

Specify a Specific Person in Charge

  • You can assign the task to a specific member in your workspace.

  • The task request will appear in My Tasks.

Specify Member by Email (Workspace Members Only)

  • You can assign a task to a workspace member by using an email address output.

  • For example, you can use the email address submitted through a Form Trigger to assign the task to the corresponding workspace member.

  • The task request will appear in My Tasks.

Specify Anyone by Email (Includes External)

  • You can assign a task to an external user who is not a member of the workspace.

  • Please note that external users cannot access attached files.

  • The task request will not appear in My Tasks.

💡 Advanced Usage

The "Request Action" operation allows you to add an input form to a manual task.

By using the same Output Name (field name) for a form field as an output from a previous step, you can overwrite the existing value with the assignee's input and pass the updated value to subsequent steps in the workflow.

📍 Example

Use an AI action to extract data from an attached invoice. The assignee then reviews the extracted information and makes any necessary corrections using the input form. Finally, the corrected data is used in a subsequent step, such as adding a new row to Google Sheets.

☝️ Note

If the target workflow containing the Action Request is created in My Project and another user is assigned as the assignee, the task cannot be performed.

This is because My Project is a private project that is accessible only to you. Other users cannot access projects created there.

For this reason, we recommend creating workflows that use the Action Request in a shared project rather than in My Project.
