Manage Subcontractors

This section is used to manage external partners such as trucking companies, gas suppliers, or demolition crews separately from internal staff. This helps track external labor and services accurately for job costing without cluttering the employee list.

The Subcontractors tab is used to manage all external partners working on your projects, such as:

  • Trucking companies

  • Gas suppliers

  • Demolition crews

  • Specialized service providers

Subcontractors are managed separately from employees to:

  • Keep payroll records clean

  • Avoid mixing internal staff with external labor

  • Ensure accurate job costing and expense tracking


Why Subcontractors Matter

Subcontractors play a key role in:

  • Project execution

  • Cost calculation

  • Performance tracking

They are directly linked to:

  • Job Costing (Subcontractor Costs)

  • Expenses module

  • Estimates (Subcontractor line items from Catalog β†’ Subs)

To Access, go to Team from the left menu and click on the Subcontractors tab


Subcontractors List View

This section displays all subcontractors linked to your system.

  • Subcontractor Name

  • Active / Inactive Toggle

    • Active: Available for:

      • Scheduling

      • Expense tracking

      • Job costing

    • Inactive

      • Hidden from selection

      • Useful for:

        • Seasonal vendors

        • Temporary partners

  • Color: Each subcontractor can be assigned colors for better visibility.

    • System Color: Used inside Zevbit for internal identification

    • Google Calendar Color: Used when schedules are synced with Google Calendar

  • Phone Number

  • Email

  • Actions (3-dot menu for edit)


Adding a New Subcontractor

  1. Click Add Subcontractor

  2. Enter the required details:

    • Subcontractor Name

    • Email

    • Phone Number

    • Color for the system

    • Google Calendar Color

  3. Click Add Subcontractor to save


Editing a Subcontractor

  • Click the three dots (β‹―) next to the subcontractor

  • Select Edit

  • Update details as needed
