How to Submit an Incident for a Formerly Enrolled Child

Can’t submit a historical incident form because the child is no longer listed? Use this workaround in People Manager to resolve it.

💡 New to CMS integration? If you're not yet connected to a Childcare Management System (CMS), now might be a great time to consider it. CMS integration helps keep your child records automatically updated in People Manager.

If your CMS isn't as part of our Integrations list, and cannot find a child, a child may be archived, or may need to be added directly. This can be controlled directly on the People Manager module.

Why does this happen?

When your 1Place account is integrated with a Childcare Management System (CMS), child records are automatically pulled into the People Manager module, and they are all based off the CMS data.

If you had been using the Incident Form before this integration:

  • Some historical forms may reference children who have since left the centre.

  • These children are archieved in your CMS, so they no longer sync into 1Place.

  • Because the Child selection is a required field, these forms cannot be saved or updated unless a child is selected from the dropdown list.

Try the below workaround:

To save or update these historical records, you can create a placeholder child in 1Place, so that

Steps to follow:

  1. Open the People Manager module on your admin portal (https://secure.1placeonline.com)

  2. Click Add Person

  3. Enter in the First Name field: *No longer enrolled* (or any label you prefer - recommend adding asterisk or any symbol before the label, so this option sits at the top.)

  4. Access to Rooms - Give the placeholder child access to all classrooms in your center

  5. Assign this person the Person Type of 'Child'

  6. Save

Now, when editing the historical form, you can:

  • Select *No longer enrolled* in the Child field.

  • Save or submit the form without errors.


How to find these records later

You can search for these records in the Incident Register by typing No longer enrolled into the search bar. This makes it easy to locate and review forms that used this placeholder.


Will this affect my reports?

No — any incident linked to *No longer enrolled* will still be counted in your Incident Trend Reports and analytics.

This workaround doesn't affect your active CMS records or existing children.
