Big Changes: Incidents Rebuilt Like Checklists and App Navigation Redesigned
This is our biggest update yet, with two major changes that affect everyone.
Health & Safety gets a complete rebuild. Incident forms now work just like checklists - same builder, same flexibility, same ease of use. Super Users get powerful new tools including granular permissions, signature linking, and one-click conversion of existing forms.
Navigation redesigned across the entire app. Buttons moved to the bottom of the screen across all modules (Checklists, Incidents, Tickets, Hazards). New incident forms have section tabs at the top, just like checklists - tap to jump straight to any section.
β
These changes come from months of listening to your feedback.
The result: one consistent way to work across 1Place, simpler to use, more time for children.

Build Incident Forms like Checklists
Who should read: Super Users
What's new: The new Incident Form Builder works just like the checklist builder you already know. Build incident forms with drag-and-drop ease, add conditional questions (like "show this field only if 'Other' is selected"), and organize information with color-coded sections.
Why it matters: Create incident forms that match your operational needs. Add any fields, set up conditional questions, and keep everything consistent with how you build checklists.
What you can do:
Drag and drop questions - same question types as checklists
Add conditional rules (e.g., show "Please specify" when 'Other' is selected)
Organize with color-coded sections (blue = Incident Details, pink = Investigation)
Use Attributes, Ticket Pops, Help image/link/text like you do in checklists
Control versions to avoid duplicates
β
Convert Existing Forms to the New Format
Who should read: Super Users
What's new: Convert your old incident forms to the new format with one click. Both versions work side-by-side while you transition.
Why it matters: Transition at your own pace - convert all forms at once or test with a small group first. Old forms remain accessible for viewing historical records when archived.
Before you convert:
Plan for reporting updates - After converting, all incident reports and dashboards will need updating with the new incident type.
β
Using external reporting tools? (Zoho Analytics, Power BI) - Contact your Client Success Manager before converting.
β
Note: New format forms require the latest 1Place app version to use.
π± App Navigation Updates
Navigation Moved to Bottom
Who should read: All Users
What's changed: Navigation buttons moved from the top to the bottom of your screen across Incident Forms, Checklists, Tickets, and Hazards.
Why it matters: Same navigation everywhere means less confusion and faster workflows.
One-step incident workflow: Users with access to Category and Investigation (e.g., Centre Managers or above) can now categories the incident, write investigation notes, and change the status (Open/Resolve) right away when logging the incident - no need to submit multiple times like before.
Where you'll see this:
All incident forms (both old and new formats)
Checklists
Tickets
Hazards
New Section Tabs and Navigation Menu
Who should read: All Users
What's new: New format incident forms (V2) now look and work just like checklists. You'll see section tabs at the top of the form (like "DETAILS", "CUSTOM FIELDS", "PARENT SIGN OFF") that you can click to jump directly to that section. There's also a hamburger menu icon (β°) in the top left corner that shows a full list of all sections.
Why it matters: No more scrolling through long forms. Click a tab or use the menu to jump straight to the section you need. This makes completing incidents faster and easier, with the same familiar layout you already use in checklists.
Where you'll see this:
New format incident forms (V2)
Checklists (already works with section tabs but now have navigation menu!)
Tickets with attached checklists
π§ Control Access and Signatures by Incident Form
Granular Profile Permissions
Who should read: Super Users
What's new: Set different permissions for each incident type. No more global "all or nothing" access.
Why it matters: Your child related incident forms might require different access than adult incidents. Now you can set this up exactly how you need it. Users with access to Categories or Investigation can edit those sections without submitting multiple times.
Example: Center Managers get full access to child incident forms but only viewing access to staff/educator-related incident forms.
Good news: All your current settings will move across automatically during the conversion process.
Incident Category Selection
Who should read: Super Users
What's new: Choose which incident categories appear for each incident type.
Why it matters: Your child illness forms may follow a different process or involve different people to resolve than general incident forms. You can now apply the appropriate categories to get incidents into the correct workflow and notify the right people.
Example: The category 'Level 4 - Critical: Infectious Diseases' would only apply to child illness forms but not the Injury on Intake form.
Signature Linking and Documentation
Who should read: Managers, Super Users
What's new: Document when a parent signature is refused or unavailable. Center managers can sign it off to automatically update the form as 'signed by other'.
Why it matters: If a parent forgets, declines or canβt be contacted, you can still finalize the incident with a complete audit trail. You can also include optional questions that appear when a signature is declined, ensuring the reason is accurately captured.
Example: A parent repeatedly forgets to sign, then the child is no longer enrolled. The center manager records why and signs it off to change the status from 'unsigned' to 'signed by other' - allowing the incident to be finalized and auditable.
βIncident Builder:
Incident Register:
Important: This feature cannot be applied retrospectively to already submitted unsigned incidents.
ποΈ Additional Updates
Incident Form Builder (Web portal)
β Customize the default fields' labels: Rename default fields like "Type of Injury" to "Type of Illness" for illness forms without affecting reporting.
β No duplicate versions: Prevents creating two versions with the same name β reduces confusion and reporting issues.
Health & Safety Module Settings (Web portal)
β Archive vs Deactivate: Archive = keeps history for reports but stops new entries. Deactivate = hides from reports and registers.
β Custom notifications: Send incident notifications to different users based on incident type (e.g., center manager for child incidents, head office for staff incidents).
