4. Grant Access to Your Team

For: Admin/Super Users

What This Does

Control which user roles (profiles) can access Documents and what document types they can see.


How to Grant Access

STEPS:

  1. Go to Settings > Profiles

  2. Click on the profile name (e.g., "Centre Director", "Educator")

  3. Scroll to "Documents Permissions" section

  4. Configure three settings:

    □ ACCESS TO DOCUMENTS Check to give this profile access to Documents module

    □ SELECT PEOPLE DOCUMENT TYPES Choose which people document types this profile can access

    □ SELECT CENTER DOCUMENT TYPES Choose which centre document types this profile can access

  5. Click Update

Users with this profile now see Documents in their menu at https://secure.1placeonline.com

Note: If the profile doesn't have access to Edit People, People Document Register will be greyed out.


Example Configurations

Centre Director:
• Access: ✓ | People Types: All for their centre | Center Types: All for their centre

Educator:
• Access: ✓ | People Types: Only types applying to them | Center Types: None

Relief Staff:
• Access: ✗ | Documents hidden


Important Notes

• Profile hierarchy still applies - users only see documents within their hierarchy

• Create document types before configuring permissions

• Changes take effect immediately (users may need to refresh)

• Only grant access to relevant document types


Troubleshooting

User can't see Documents:

Check "Access to Documents" is ticked → Verify correct profile assignment → Have them log out/in

User sees wrong document types:

Review and adjust profile permissions


Pilot Testing Feedback

• Is configuring permissions straightforward?

• Are the three settings clear?

• Does access work as expected?
