This update brings a range of new features, improvements and fixes across the home page, incident reporting, checklists, reports and user settings. Each one is designed to save you a little time, make information easier to find, and help your day run more smoothly.
𩹠Health & Safety Incidents
⨠New Feature
â Report Incidents Without a Login
Who should read: Super Users
What's new: You can now create a shareable link or QR code for your incident and staff injury forms, allowing people to submit reports without a 1Place login.
This allows people who don't have a 1Place login, such as relief educators, casual staff, contractors and visitors, to submit an incident report.
Anyone with the link can complete the form and submit it. The submitted form appears in your incident register, ready for review and follow-up.
Why it matters: Not everyone who needs to report an incident has a 1Place account.
For example, a relief educator who witnesses an incident at your service can scan a QR code and record what happened, without needing to ask another staff member to log in and enter the information.
This provides another way to capture incident information from people who may not regularly use 1Place. The completed report then appears in your incident register, ready for you to review and follow up.
This gives you:
Faster reporting: incidents are captured as soon as they happen, not at the end of a shift.
More accurate records: details come straight from the person who saw it.
Less admin for your team: no one has to log in and enter reports for someone else.
Everything in one place: every report lands in your incident register, ready to review and follow up.
How to set it up (Super Users):
Go to Health & Safety tab and select Incident Types, or proceed directly to the Survey tab.
In the Incident Types list, find the Incident Type (template) you want to create a survey for, then click the number button under the Survey column to open the Survey lists
Click + New Survey in the top right corner to create your survey link.
Enter a survey name and welcome message. If you want the link to stop working after a certain date, add an expiry date.
Under Survey for, choose who the survey is for (for example, Center or Room), then select the rooms, or use a room alias to select them.
If you'd like a PDF copy of each submitted incident sent by email, tick Allow Incident PDF to be emailed.
Copy the link or download the QR code.
Share the link or QR code with the people who need to report incidents.
For example, display the QR code at your sign-in desk or in the staff room, or send the link to regular relief staff and contractors.
Setting up an Incident survey works the same way as setting up a Checklist Survey. For more details, see Survey (video).
đ ď¸ Fix
â Incident Register Date Filter Works Straight Away
Who should read: All Users
Whatâs fixed: Your date range filter now applies as soon as you open the incident register.
Why it matters: Previously, the date filter only took effect after you moved to the next page. This meant the first page could include incidents outside the date range you selected.
The date filter now applies from the start, so the register opens with the incidents that match your selected dates. For example, if you're reviewing this week's incidents before a team meeting, the relevant incidents are shown as soon as you open the register.
đ Home Page
⨠New Feature
â Full Screen Charts
Who should read: All Users
What's new: Home page charts with lots of information now have a full screen option.
Why it matters: When a chart contains a lot of data, it can become difficult to read in a smaller space. Opening the chart in full screen gives you more room to view the data and makes it easier to identify the information that needs your attention.
How to do it: On any Home page chart with more than 10 items / dates, select the expand icon that appears in the top-right corner to open the chart in full screen.
Once the chart is in full screen, use the slider at the bottom to make it bigger or smaller, so you can see exactly what you need.
⥠Improvements
â Favorite Your Checklist Charts
Who should read: All Users
What's improved: Checklist completion and schedule charts can now be added to your favorites.
Why it matters: If there are charts you check regularly, you can add them to your favorites for quick access. Your favorite charts stay within easy reach, making it easier to review your teamâs progress without searching for them each time.
How to do it: From the Checklists tab on your Home Page, select the star icon on the charts you use most often. These charts will be added to your Favorites for easier access.
â Faster Home Page Charts
Who should read: All Users
What's improved: Home page charts now load faster and display their data correctly.
Why it matters: The Home page is often the first place you go when you log in to 1Place. Having your charts load quickly and display the latest information gives you a clear view of how things are going from the start.
The Home page brings key information together in one place, making it easier to review what needs your attention and get on with your day.
â The Right Home Page, Automatically
Who should read: All Users
What's improved: 1Place now automatically takes you to the new home page for your organisation.
Why it matters: Getting started in 1Place is now simpler. When you log in, you are taken directly to the right Home page for your role, with no additional setup or configuration required.
đ Reports
⨠New Feature
â People Reports
Who should read: Super Users, Managers
What's new: You can now create reports about people in your organisation from the Reporting dashboard menu. Reports can include each personâs details, custom fields and attached documents. Reports are available in PDF and Excel formats, giving you the option to use the format that best fits your needs.
Why it matters: When an assessor or auditor asks for staff records, gathering information person by person can take time. You can now bring the relevant information together in a single report.
The PDF version also includes attached documents within the report, keeping each personâs details and supporting records together. This gives you a complete record in one place, making it easier to prepare for audits, record-keeping and assessment visits.
Good to know:
PDF reports are available for up to 25 people. For groups larger than 25, use the Excel format.
Documents are included in the PDF report when they are uploaded as PDF or image files.
â Checklists
đ ď¸ Fix
â Conditional Questions Stay in Place
Who should read: Super Users
Whatâs fixed: Conditional questions now stay in place when you publish or export a new version of a checklist. Previously, this question logic could disappear, leaving you to set it up again.
Why it matters: This means your checklists keep working the way you built them. Your team still sees the right follow-up questions at the right time, and you don't have to rebuild your logic every time you make an update.

â Notification Lists Stay Up to Date
Who should read: Super Users
Whatâs fixed: Group contacts are the people assigned to progress incidents or tickets submitted for their rooms or centre. When a person's access to a site is removed, they are now automatically removed from that site's group contacts.
Why it matters: This keeps notifications going to the right people, keeping notifications and related information limited to the people who need access.
When an educator moves to another centre or leaves your organisation, they are automatically removed from the relevant group contact lists and no longer receive updates for a centre they no longer work at. There is no need to remove them manually.
