This update brings a faster, easier Ticket Manager and a set of smaller improvements. You'll also find a new Time of Incident field, more control over who can answer each question, and a more secure way for parents to sign incidents. Each one designed to save you a little time and help your day run more smoothly.
📅 Release timing
Web changes go live first on Sunday 8th of November. App updates will follow.
⚠️ Important: Update your 1Place app
Once this release goes live, you need the latest version of the 1Place app to keep working with tickets and checklists.
Users on older app versions can still create tickets, but cannot access existing tickets in categories that use the Pending → Resolved → Closed workflow.
Older versions may not save your work and will show an out-of-date message. This message won’t open the update screen, so please update manually.
To update: Open the 1Place app, tap the cloud icon ( ☁︎ ) in the top right corner, then in the Connection Status window, tap UPDATE APP under Update Channel. The app downloads and installs the update automatically.
How do I update my 1Place app.
Super Users: please ask your team to update their app – including on any shared centre devices – as soon as the release is live.

Ticket changes to be aware of
New tickets always start as Pending until someone updates them. Super Users can rename the status label if your team uses different words. See How to customise labels
Notes are required on every new ticket.
Renamed: Clone is now Copy, and Ticket Content is now Notes.
You can now search for a ticket by its number when reassigning it, regardless of its category.
Previously, searching by ticket number required an exact match with the selected Ticket Category. You can now locate the ticket directly without needing to know or select its category first.

The Improved Ticket Manager
Who should read: All users
What's new: The Ticket Manager has a refreshed design and improved performance.
Why it matters: All your existing features are still available, with a clearer layout and more flexibility to suit your workflow. Spend less time managing tickets and more time supporting children.
Highlights:
Smarter filters – choose several centres, rooms or statuses at once, filter by category and save the filters you use most.
A register you can make your own – organise tickets with status tabs, coloured status labels, an overdue icon and the columns you want to see.
See who's involved – an improved progress bar on every ticket shows who needs to act next.
Raise a ticket in two steps – choose the centre or room, then fill in only what applies.
For Super Users – create categories in five short steps and hide fields your team doesn't use.

Coming soon: App PIN and Shared Device Login
Who should read: Super Users
We're preparing two new security features for the 1Place app:
App PIN – the app locks after 3 minutes without use, and you unlock it with your own six-digit PIN.
Shared Device Login – on shared centre tablets, log in with the Centre App Login details first. Educators then choose their name, enter their password and set their PIN, and everything is still recorded under their name.
Both will be optional, and turned on for your organisation when you're ready. We'll share more details soon – no action is needed for now.
Other improvements
Settings Improvements
⚙️User settings, all in “1Place”
Who should read: Super Users
A new User Management section in the Settings menu brings Users, Profiles, Centre App Logins and Group Contacts together. Click Settings, then User Management

👥Bulk Edit profiles
Who should read: Super Users
On the Profiles page, Change Hierarchy is now Bulk Edit, allowing you to update multiple profiles at once. If you have the Centre App Login feature turned on, this is also where you choose which profiles can log in using it. The Type column has been removed, but the Super User profile remains clearly labelled.
H&S Improvements
🕒Time of Incident in the Incident Builder
Who should read: Super Users, Managers, Educators
What's new: Incident forms now have a Time of Incident field. It's added automatically to any new incident type you create and must be completed before the form is submitted. For existing incident types, it stays off until a Super User adds it.
You can also set an allowed time range for each incident type, such as your centre's opening hours. If someone enters a time outside that range, they'll see a message asking them to check it.
Why it matters: If your centre is open from 7am to 7pm, an incident logged for 3am is almost certainly a typing mistake. Setting a range stops it at the point of entry, so your incident register stays accurate.
How to set it up
Open the Incident Builder and edit an incident type.
Select Add Default Field in the group where you want the time to appear, then choose Time Of Incident.
To set an allowable time range, click Edit (optional).
Click the clock icons in the Earliest Time and Latest Time fields to set your preferred time range, then click Save.

🔐More Secure Parent Signature Links
Who should read: Managers, Educators
What's improved: When parents receive an email asking them to sign an incident, they'll now enter their email address first. If it matches the address the email was sent to, we send them a one-time link to view and sign the incident. This is the same process parents already use to download larger incident PDFs.
Why it matters: A forwarded or leaked email can no longer open an incident on its own, so incident details stay with the family they were sent to.
What the signer sees:
They open the link in the incident email and enter their email address.
They receive a second email with a button to open the sign form.
They review and sign the incident as before.

Checklist Improvements
👁️Profile Attributes: choose who can answer each question
Who should read: Super Users
What's new: You can now create Profile Attributes, link them to Profiles, and attach them to questions in the Checklist and Incident Builders. You can now choose which profiles can answer each question.
A person whose profile does not have the attribute sees the question as read-only, marked with a block icon and a "[Read Only]" label.
Why it matters: Some questions aren't for everyone who can open a checklist. One person can complete questions 1 to 5, while a manager with a different profile completes questions 6 to 10 – no need for separate checklists.
Note: Profile Attributes can't be used on incident questions that parents complete when they sign. This makes sure parents can always see the fields they need to fill in.
How to set it up
Go to Settings > Attributes > Profile Attributes and create your attributes. You can also import and export them using Excel.
Link each attribute to the Profiles that should be able to answer those questions.
In the Checklist or Incident Builder, attach the attribute to a question, then save or publish.
ℹ️ Good to know
Profile Attributes can’t be combined with Room or Centre Attributes.
Mandatory questions that a person cannot answer do not stop them from submitting.
Super Users are not restricted by attributes.
You cannot delete or deactivate an attribute while a checklist or incident question uses it.
Update the 1Place app to see read-only questions. Older versions show every question as editable until the app is updated.
In surveys, questions a person can't answer are hidden.
In the Incident Builder, a question can be Editable or restricted by Profile Attributes, but not both. Turning one on locks the other, and a message explains why.
📋 Clearer Web To Do List
Who should read: All Users
What's improved: On the web, your To Do list now shows the checklist name first, followed by the centre name. This matches how the To Do list already looks in the mobile app.
Why it matters: Your To Do list reads the same on the web as it does on your phone, so there's nothing to relearn when you switch.
Faster to load: The To Do list now opens faster, because it only loads your To Do, Completed and Overdue counts instead of counting every checklist ever created.
Home Dashboard Improvements
⭐Policy Favourites on Overview
Who should read: All Users
What's improved: Policies and Procedures you star as favourites now appear on the Overview tab of the Home page. The policies you rely on most are now right where you'd expect to find them.
ℹ️ Good to know Document charts that do not have a Date filter can now be added to Favourites without causing problems on the Home page. |
🛠️Ticket improvements
Custom status labels now show in ticket comments and emails.
Reassigning a ticket keeps the original creator.
The option to return tickets to the Delegator is available only for categories with a Delegator step and the Allow Resolver to assign back to the Delegator setting turned on.
You can remove tags from existing tickets.
Pre-populated details now apply when a ticket is raised from a submitted checklist.
A checklist's general settings now apply when it's attached to a ticket category.
The Reassign page is smoother to use.
Users on older app versions can still create tickets, but cannot access existing tickets in categories that use the Pending → Resolved → Closed workflow.
🔐App improvements
Timing: These app changes will be released after the web changes on Sunday 8th of November.
Stronger app security – better protection when you log out, secure connections and updated Android security requirements.
Notifications now arrive as expected after you log out and back in.
Time of Incident in the app – record the time an incident happened, within any allowed time range your Super User has set.
Read-only questions – questions restricted by Profile Attributes now show as read-only in the app, with a block icon and a "[Read Only]" label. Older versions show every question as editable.
Secure signing for parents – the new email check before signing an incident works with the updated survey app.
Update your app (required for tickets and checklists) – tap the cloud icon ☁️ in the top right of the 1Place app, then tap UPDATE APP when this release goes live. On older versions, tickets and checklists may not save, and the out-of-date message won't open the in-app update for you.
