Creating 'Person Custom Fields'

If the default fields for a person aren't sufficient to create a Person, you can add as many Custom Fields as required.

By default there are only a few Fields available when adding a new Person to 1Place. If you want to record additional information (like date of birth, gender, parent / caregiver contact details) the best option is to create People Custom Fields. You can find this menu via 'Settings > People > People Custom Fields.

Adding Custom Fields

Once you've gone to the correct page, you can add a Custom Field by clicking the green '+ Add New Custom Field'.

You start by adding in the name (/label) for the Custom Field, and then selecting the correct Field Type:

  • String; You can record data with a limited number of characters here.

  • Textarea; You can record a large amount of characters here.

  • Date;

  • Datetime;

  • Time

  • Numeric

  • Boolean (true / false)

  • Select; Once you've chosen this option, you can choose between 'Select' and 'Select Many'. After that you can list the options, and change the order in which these appear.

Age Calculation Custom Field

Users do not need to manually enter the age of a child, as this will be automatically calculated based on the date of birth. To ensure it works correctly, make sure that the DOB (Date of Birth) custom field has been initially added under the People Custom Fields section.

To set up Age Calculation, click on “Add Custom Field” in Person Custom fields page and fill out the required fields like the below:

Make sure to tick the “Age Field” checkbox to enable the automatic calculation. Then, select your previously created “Date of Birth” custom field from the “Select Date of Birth Custom Field” dropdown to link it properly.

Email Custom Field

Users can also add a custom field specifically for email addresses. To do this, create a new custom field, choose "String" as the field type, and make sure to tick the "Email Field" option as shown below.

Sort Custom Fields

After adding all your Custom Field, you can change the Sort Order if required. This page uses 'drag-and-drop' which means you click on hold the mouse button and then move fields up and down.
