As of May 22, 2025, Apricot users are able to archive Participant Types in Connect. Removing outdated or irrelevant Participant Types allows you to:
Reduce clutter on Connect pages when managing participants or sending communications.
Prevent users from mistakenly assigning new participants to unused Participant Types.
Keep your Apricot database aligned with current program models and services.
Important: Archiving a Participant Type will unregister all current Connect participants who were registered under that type. This action cannot be undone. Archived Participant Types and their associated data will remain intact in Apricot and available in reporting.
Follow the steps below to archive a Participant Type in Connect.
Step 1: View the Participant Type dashboard
In the Administrator tab of Apricot, expand the Connect category of the navigation bar and select "Participants". This dashboard will display every existing Participant Type in your Connect setup.
Step 2: Archive a Participant Type
Click the kebab menu (or the three-dot icon) to the right of the Participant Type name you want to remove, then select "Archive".
A pop-up will appear at the top of the page for you to confirm this action. To reiterate, clicking "Confirm" here will unregister all current Connect participants who were registered under that type.
Direct Messages
Archived Participant Types are also displayed as such when viewing Direct Messages sent to Connect participants.
Click the "Direct Messages" page under Connect in the navigation bar. You'll find an "Archived" pill next to every message sent to the Participant Type you archived.
While you can still view the messages by clicking the eye icon, users cannot edit or follow-up with messages sent to archived Participant Types.
Clicking "New Direct Message" at the top-right of this page also no longer presents the archived Participant Type as an option in the dropdown field.
Step 3 (optional): Re-register participants in Connect
By default, participants already registered to Connect under any Participant Type cannot be registered again with a second Participant Type. Attempting to do so results in the following error: "An account already exists for this participant or email address."
After archiving their Participant Type, those participants are now unregistered in Connect. This means you can re-register them with a new or existing Participant Type if necessary. To learn how to register participants and send them a password setup link, click here.
