The Attendance Tracker allows Administrators and Standard Users to manage participant attendance for recurring classes, programs, or sessions within Apricot. Located under My Apricot Tools > Classes & Terms, this feature supports tracking present/absent status, notes, time in/out, activities, and risk indicators based on user-defined completion criteria.
The Attendance Tracker is built to streamline attendance tracking for group-based services. Each Class represents a recurring program or service offering, while Terms represent specific date-bound versions of those Classes (e.g., Fall 2025). Within each Term, participants are enrolled into rosters and attendance is tracked using a weekly table view. You can also configure Sessions for sub-daily tracking and customize attendance note settings to capture more granular information.
Once configured, users can quickly enroll or unenroll participants, mark attendance for each day or session, and monitor progress using visual indicators. Group controls make it easy to apply changes across multiple participants at once, while quick notes and activity tagging provide flexibility in recording what happened during each session. Attendance is automatically stored in each participant’s Document Folder under the Attendance tab.
Attendance data syncs nightly and becomes available for reporting the following day. Administrators can report on attendance status, session participation, time logs, activities, and calculated risk indicators using standard Apricot reporting tools. Risk statuses update daily based on Term completion criteria, allowing programs to proactively identify engagement concerns or completion trends.

Feature Availability
The Attendance Tracker is available to both Administrators and Standard Users within Apricot, but only Administrators have access to configure the feature settings through Feature Configuration. Guest Users cannot access the Attendance Tracker.
Notes:
Participant enrollment is based on assigned Programs, and participants will only appear in enrollment tables if their associated Tier 1 record is included in the selected Feature Configuration.
Attendance data, including risk indicators, syncs nightly and becomes available for reporting the following day. Risk statuses and attendance flags do not update in real time, so users should plan reports accordingly.
