How do I assign a Smart List to a field?

Once you've created a Smart Field Preset, you can apply it to a dropdown field on any form. This allows the field to pull values directly from your preset — creating a Smart List that is dynamic, standardized, and easy to manage across forms. Assigning a preset to a field ensures your list values stay consistent wherever they appear, without requiring manual updates.

The steps below walk through how to add a Smart List field to a form and configure it to use your preset.

From the Administrator tab, click on the Form Designer in the navigation bar and select Standard Forms. Hover over the Actions menu next to the form where you want to add your Smart List, then click Edit to open the form.

In the Field Choices palette, click the arrow next to the Smart Fields category to expand it. Then, drag and drop a Smart List field into a form section.

Click the gear icon next to the field name to open its properties window. Give the field a name that reflects its purpose for the end user, as this is the label users will see during data entry.

You can also set rules like whether the field is required, or if users should only see a filtered version of this list based on their Role permissions.

Under Smart Field Presets, you'll be prompted to select or create a Smart Field Preset.

Notes:

Once your Smart List field is configured, apply your changes and publish the form from the Form Actions palette.

When filling out this form, the field will now display values from the Smart Field Preset you assigned, and any updates made to the preset will automatically reflect in the dropdown.
