How do I adopt a Data Standard form in Apricot?

Adopting a Data Standard form creates a copy of the standardized form directly in your Apricot site. This allows you to start using the standard quickly without mapping it to an existing form.

Adopting is often the fastest way to implement a Data Standard, especially when setting up a new program or aligning quickly with shared reporting requirements.

When adopting a Data Standard is a good fit

Adopting a Data Standard form works best when:

  • You are creating a new program or workflow

  • You do not need to preserve an existing form structure

  • You want to start collecting standardized data with minimal setup

  • You are implementing a standard shared through a Service Provider Network

Before you start

  • You must be an Apricot Administrator.

  • The Data Standard must already be available to your organization.

  • Adopting a form affects future data entry, not historical records.

Adopt a Data Standard form

  1. In Apricot, go to Administrator.

  2. Open Workflow Station, then select Networks or Data Standards, depending on how the standard is shared with you.

  3. Locate the Data Standard you want to implement.

  4. Select Implement.

  5. Choose Adopt the whole form when prompted.

  6. Review the forms and fields included in the Data Standard.

  7. Select Implement Data Standard to confirm.

Once the process is complete, the standardized form is added to your Apricot site and is ready for use.

What happens after you adopt a form

After adoption:

  • A new form is created in your site based on the Data Standard

  • The form includes the standardized fields and structure

  • Any form logic included in the standard is preserved

  • New data entered using the form follows the standardized structure

Existing data is not changed or removed.

Important things to know

  • Adopting creates a new form; it does not modify existing forms.

  • Only the fields selected as part of the Data Standard are standardized.

  • You can later update your implementation if a new version of the Data Standard is published.
