How to import contacts via Marketing Tools

Step-by-step instructions for how to import contacts through the email marketing wizard

Event Caddy makes it easy to import any contacts you have saved externally so you can start sending them important information about your important event.

  1. From the side navigation of your admin dashboard, select MARKETING TOOLS > Email Blasts.

  2. Now you're on the Email Marketing Wizard screen. Look for the 'Import Contacts' block and select it.

  3. You are now on the screen where you have one of two options for importing contacts - Import From Player List and File Upload.

  4. Import From Player List > This option is perfect if you already have a number of players registered and want to start sending them communications. Simply select the 'Import From Player List' button and Event Caddy does the rest of the work! You'll be redirected to the contacts page with the confirmation message that your contacts have successfully been imported from your player list.

    • NOTE: If registration for your tournament is still open, you will need to repeat this process each time you send an email to ensure you are always emailing your most up-to-date list of players.

  5. File Upload > This option is perfect for sending emails to past players to invite them to register for your event or communicating with non-players so you can share important information with them. Valid file formats for importing your list are CSV, XLS, XLSX or ODS. Here's how to import your external contacts:

    1. Make sure your file that you intend to import conforms to Event Caddy's requirements. The column headers should have Email, First Name and Last Name all in separate columns (and be listed in this order). To make things easy, we have an optional template you can download so it takes any guess work out of how the file should be organized. You can then copy over any of your contacts into this template.

    2. Once your file is ready for upload, select the 'Choose file' button to locate the file that is saved on your computer.

    3. Select the checkbox to indicate you are agreeing to only send communications to individuals you have permission to contact.

    4. Select the 'Create Import' button.

    5. On the next screen this is where you can choose a 'Category' to link all contacts to (check out our article on contact categories for more details). The most important action you take on this screen is making sure the labels listed in the 'Event Caddy' column match the 'Uploaded' column. If you followed the above steps it's just a matter of using the drop downs to make a selection so the labels 100% match in each column. So if the column on the left says 'First Name' use the drop down to update the selection to 'First Name'. When you're done, select the 'Save Match' button.

  6. Now your import is complete! You'll be redirected to your email contacts list with the confirmation message that all contacts have been uploaded successfully.
