Order Dispatch

How to manage deliveries, capture signatures, and get equipment booked out on rent.

Order Dispatch

The Order Dispatch screen gives you everything you need to manage and deliver Orders from one place. View equipment status, track deliveries, capture digital signatures with location data, and make quick changes on the go.

Get Started

Once your equipment is allocated and you are ready to schedule delivery, select Actions > Dispatch on the Order.

After accepting the dispatch, a delivery note is generated and ready for your driver.

From here you have two options depending on your workflow:

  • Digital signature on the road - the driver signs directly on the device at the point of delivery

  • Printed copy - print the delivery note and collect a manual signature

⭐ Quick Tip: There is a setting within user roles that controls whether the delivery note appears on screen automatically when items are marked as Dispatched. This can be useful if you want to email it or capture a signature at that moment. If you prefer to handle it later, you can reprint it at any time from Order > Movements or the Movements menu.

Digital Signature

  1. Select Print to reprint the delivery note

  2. Select Sign in the top right corner to open the Order Dispatch screen

  3. Capture the customer's signature and name, make any item adjustments, and attach photos or documents if needed

  4. Once signed, the equipment automatically updates to Delivered and is booked out On Rent

Cancelling Items on a Dispatch

If an item cannot be delivered, you can cancel it directly from the dispatch. This reverts the equipment back to Allocated status, so you can schedule it for redelivery when ready.

Keeping an Eye on Deliveries

The dashboard includes views showing your transport jobs for today and this week, giving you a live picture of what is out for delivery at any point. You can also create custom views if you want more control over how your dispatch activity is displayed.

Confirming the Delivery

When the driver has dropped off the equipment, navigate to Movements. The dispatch tile will be displayed and ready to confirm.

⚠️ If you need to cancel or rearrange the delivery, click the Cancel link or edit the Delivery Date on the Order Item within the movement before confirming.

Manual Signature

If you are using a paper delivery note, select Confirm under Movement. This will mark the equipment as Delivered and put it On Rent. A delivery note will also print at this point, which can be disregarded if a manually signed copy already exists.

Order Dispatch takes your allocated equipment through to delivery in a few straightforward steps. Whether your team is capturing digital signatures in the field or confirming manually back at the depot, everything feeds back into the Order automatically, keeping your stock records and rental charging accurate from the moment equipment leaves the yard.
