1. Set Up Permissions
Permissions are the foundation of how users interact with Shapes. Navigate to Account Settings > Permissions to configure access levels.
Super Admin
Full access to view and edit everything in the platform with no restrictions.Admin
Has more limited access compared to Super Admins. You can create custom roles for Admins:Name the role and define if they are a manager.
Choose whether they can access all employees or specific offices.
Decide if they can add or invite employees and edit permission roles.
Specify what employee data they can access:
Hide
View
Edit
Useful for sensitive data like salary information, which is hidden by default in custom fields.
2. Use the People Directory
The People Directory provides several views to help you understand your organization:
Organizational Overview
View charts showing headcount, joiners, leavers, etc. You can:Filter by date.
Click into specific insights to view detailed data on individual employees.
Export insights to CSV or Excel.
Compare metrics to previous periods.
Org Chart
Visualize the reporting structure in your company. You can:Zoom in/out.
Filter and search for specific employees.
Download the chart.
Company Calendar
Displays:Public holidays, events, birthdays, and time off.
Sync with external calendars (e.g., Google Calendar) using a calendar URL.
3. Create Dashboards and Reports
As a Super Admin, you can create dashboards to track key metrics:
Navigate to the Dashboard section.
Create a new dashboard with a title and description.
Add widgets (Reports or Insights):
Reports: Use existing reports (e.g., Time Away) or create custom ones using available fields in employee profiles.
Insights: Choose metrics like headcount, tenure, or salary. Customize views as bar charts, tables, etc.
Add filters and breakdowns by team, office, gender, etc.
Dashboards can be shared via a link. View-only access is available to those without dashboard permissions.
4. Set Up Automations
Automations help keep leadership informed in real-time:
Go to People Directory > Automations.
Example: Notify the CEO when salary information changes.
Create a trigger (e.g., When salary amount changes).
Set the action (e.g., Send an email to David Brown, CEO).
Click Create Automation to activate it.
