Bulk Import Employee Files

Attach files to many employee profiles at once by uploading a single zip organized by employee and field.

Attaching files to employees — contracts, signed documents, ID scans — used to mean opening each person's profile and uploading one file at a time. Now you can import files for many employees in a single upload.

How to add

  1. Go to the People Directory.

  2. Click the three dots in the top-right corner and select Import.

  3. In the Import Employees form, start the zip upload — a wizard opens for uploading your zip file.

How it works

  • Organize your files into folders on your computer: one folder per employee, named by either their work email address or their full name. Inside each, use a sub-folder per field (e.g. "Contract Documents") holding the relevant files.

  • Files placed directly inside an employee's folder, with no field sub-folder, are picked up too. The wizard offers to create a Files field to hold them, and lets you choose which tab and group that field is created in.

  • Zip the top-level folder and upload it. Shapes matches each file to the right person and the right field automatically.

  • Before anything is saved, a preview shows exactly who matched, which files are ready to import, and which will be skipped (with a reason why).

  • The import runs in the background with a live progress indicator — you can close the window and come back later.

Who can use it

Available to Super Admins, and to Admins according to their management scope.

Why it matters

Employee files often live outside Shapes — in shared drives, email threads, or old systems. Getting them into employee profiles used to require manual work, one profile at a time. Bulk import removes that bottleneck, whether you're setting up a new account, onboarding a cohort, or cleaning up after an audit.
