Create a project so your team can raise material requests, send RFQs, place orders and process invoices against it.
Before you start
You need the Admin or Purchaser role. No other role can create a project, even one that has been granted the project permissions.
Create the project group first if the one you need does not exist yet.
Your company can make Project ID, the address, an order watcher, an invoice assignee or a material request assignee required. An Admin sets that in Company Settings.
Steps
Open Projects in the top navigation bar.
Click Add Project.
Enter the Project Name. It has to be unique in your company.
Enter a Project ID if your company uses them. Spaces are not allowed.
Check Default Order Watchers. You are already on it.
Choose the Project Group.
Under Assignees, set who handles this project's invoices, material requests and inventory.
Under Addresses, click Add Project Address and enter the delivery address.
Click Create Project.
What happens next
The project appears on the Projects page under its project group, and in the project dropdowns across SubBase. Your team can raise requests, RFQs, orders and invoices against it straight away.
Notes and limits
The form opens either as a full page or as a panel from the right, depending on how your company is set up. The fields are the same. On the panel the button reads Create.
Project Group is required as soon as your company has at least one group. If it has none, there is nothing to choose and the project is created without one.
A name already in use is rejected with a message ending already exists, please choose a unique name.
Project ID has to be unique too. A duplicate is rejected with ID already exists.
Everyone on Default Order Watchers is added as a watcher to each new request, quote and order on this project, and is notified about it.
Best practices
Create the project group before the project. The Project Group field only offers groups that already exist, and a project created without one is visible to everyone in your company.
Stay on Default Order Watchers while the project is being set up. You are added to every request, quote and order raised against it, which is how you catch a wrong address or assignee in the first week rather than the first invoice.
Give the project a Project ID even where it is optional. Search on the Projects page matches it as well as the name, and the spreadsheet upload uses it to tell an update from a new project.
