A project group decides who sees a set of projects. Use one per region, division, client or however your company splits its work.
Before you start
Creating and editing a project group uses the permission that covers managing users, not the one that covers projects. The button can appear for someone who does not have it, and the save then fails.
Group names have to be unique in your company.
Steps
Open Projects in the top navigation bar.
Click Add Project Group.
Enter the group's Name.
On the Projects tab, add the projects that belong to it.
On the Users tab, add the people who should see them.
Click Save.
What happens next
Everyone on the Users tab can see every project in the group, and their orders and invoices. The group appears on the Projects page as a heading in the card layout and a tab in the table layout.
A group with no projects in it appears only for its own members. Nobody else sees it at all.
What removing a project or a user does
Taking a project out of a group does not delete it and does not hide it. It becomes an ungrouped project, and ungrouped projects are visible to everyone in your company. Putting it back restores the old visibility. Nothing stops the removal.
Taking a user out of a group removes their view of that group's projects, orders and invoices immediately. Nothing else about their account changes, and adding them back restores it. Anything they were sent a direct link to, they can still open.
A project group cannot be set inactive, archived or deleted from SubBase. Rename it or empty it instead.
Notes and limits
A project belongs to one project group only.
The Projects tab only offers projects that are not already in another group. To move a project between groups, change the group on the project itself.
You can also work on groups in Company Settings, on the Project Groups tab, where the button reads Add new project group.
Your company can rename Project Group, so both the tab and the button may read something else for you.
Best practices
Move a project between groups from the project's own settings, not from here. This panel only lists projects that are not already in a group, so a project you cannot find is almost certainly in another one.
Add the users at the same time as you create the group. A group with no projects is visible only to its own members, so a group created empty and unassigned is invisible to everyone until someone returns to it.
Do not use a project group to keep an order confidential. SubBase says so on the Project Groups settings page: someone outside the group who is sent a direct link to an order can still open it.
