Add a User

Invite 1 or more people to your company account, give them a role and project groups, and resend an invitation that has expired.

Invite 1 or more people to your company account and set what they can see before they sign in.

Before you start

  • You need the Admin role. If Add users is missing from the Users tab, your role does not include it.

  • Set up your project groups first. Once 1 group exists, every invitation must include at least 1.

  • Everyone in a single invitation gets the same role and the same project groups.

Steps

  1. Click your name in the top navigation bar, then Company Settings.

  2. Open the Users tab, then click Add users.

  3. In Email(s), type each address, separated by commas.

  4. Choose a Role.

  5. Choose 1 or more Project groups.

  6. Click Create.

What happens next

SubBase emails an invitation to each address. Until someone accepts, their row shows Invited and the name columns stay empty. Once they sign in for the first time, the row shows Active and their name fills in.

If an invitation expires

An invitation does not last indefinitely. An expired row shows Invite expired.

  • To send a new one, click the refresh icon next to the status. Its label is Resend invitation.

  • To pass the link on yourself, click the link icon next to it. Its label is Copy invite link. This appears only while the invitation is still valid.

Notes and limits

  • There are 5 roles: Admin, Purchaser, User, Material Requester and AP User. The list you see is the set your company uses.

  • Project groups control which projects a person can see. They do not sign anyone up for notifications.

  • You can change a role later from the Role column on the Users tab.

Best practices

  • Read the address back before you click Create. SubBase cannot tell a typo from a real address, so a wrong one becomes a row that never accepts and never expires into anything useful.

  • Group your invitations by role. Everything in the Email(s) box gets the same role and the same project groups, so mixing 2 roles into 1 invitation means fixing the second one afterwards.

  • If SubBase says the address already exists, the person is deactivated rather than missing. Re-activate them instead of inviting them again.
