Manage Permissions by Role

Set what each of the 5 roles can do across orders, invoices, commitments, inventory and mobile, and apply it to everyone on that role.

Set what each role can do across SubBase. Permissions are set per role, so a change applies to everyone who holds that role.

Before you start

  • You need the Admin role. The Permissions tab does not appear for anyone else.

  • There are 5 roles, and each one gets its own column: Admin, AP User, Purchaser, User and Material Requester.

Steps

  1. Click your name in the top navigation bar, then Company Settings.

  2. Open the Permissions tab.

  3. Choose a category, such as Orders or Invoices.

  4. Type in Search permissions to find the one you want.

  5. Turn the switch on or off in that role's column.

  6. Click Save Changes.

What happens next

The change applies to everyone on that role, across every project, as soon as you save. People who are signed in pick it up when they next load the page.

The categories

Categories appear only for what your company uses. You may see Orders, Material Requests, Invoices, Commitments, Price Sheets, Inventory, Order Plans, Mobile and Other.

  • 1 Save Changes covers every category. Switches you changed under Orders and under Inventory save together.

  • Discard Changes appears as soon as you change something. It returns every switch to the last saved state, in every category, not only the one you are looking at.

  • Some permissions carry a definition. Hover the question mark next to the name to read it.

Notes and limits

  • Permissions are set by role, not per person.

  • Material Requester has a column in every category. Anything you can grant another role, you can grant a Material Requester.

  • Purchasers can open Company Settings and read most of it, but the Permissions tab is not there for them, and that cannot be changed here.

Best practices

  • Treat Material Requester as a starting point rather than a ceiling. If they should see the Dashboard, Calendar or Analytics tabs, turn those on under Other. They are off by default, not unavailable.

  • Save before you switch category. 1 button covers all of them, so leaving the tab with switches changed puts you in a prompt asking whether to discard work you meant to keep.

  • Fix access by moving the person to the right role, not by widening the role they are on. Widening a role changes it for everyone who holds it, including people you were not thinking about.
