Reactivate a User

Restore access for someone who was deactivated, when SubBase tells you the email address already exists, without creating a second record.

Restore access for someone whose account was deactivated. Use this when you try to invite an address and SubBase tells you it already exists.

Before you start

  • You need the Admin role.

  • A deactivated person keeps everything. Re-activating puts them back where they were.

Steps

  1. Click your name in the top navigation bar, then Company Settings.

  2. Open the Users tab, then click the filter icon above the table.

  3. Turn on Only show deactivated.

  4. Find the person by name or email address.

  5. Click the three-dot menu at the end of their row.

  6. Click Re-activate user, then confirm.

What happens next

The status returns to Active and the person can sign in again. Their role, their project groups and their history are unchanged, and they appear again wherever people are selected.

Deactivating someone

Deactivating is on the same menu, as Deactivate user. It is worth knowing what it does and does not do before you use it.

  • It blocks sign-in and the status becomes Deactivated.

  • Nothing is deleted. Their orders, invoices and project assignments stay attached to them.

  • It hands nothing over. Orders they were watching and invoices assigned to them stay assigned to an account that can no longer sign in.

  • Re-activating reverses it in full.

If someone is leaving and another person is taking over their work, use Replace user instead. That moves the open records across; deactivating does not.

Best practices

  • Re-activate rather than sending a fresh invitation. A new invitation creates a second record for the same person, and the orders and invoices stay on the first one where nobody is looking.

  • Check the Role column after you re-activate. The person comes back on the role they held when they left, which may not be the role they are returning to.
