Use a consumable request to take materials your company already holds in a warehouse, instead of ordering them from a vendor.
Before you start
You need the Create Consumable Inventory Request permission to submit one, or Create Consumable Draft Request to save a draft.
The items must already be in that warehouse's stock.
If the warehouse has projects linked to it, only those projects are offered on the form.
Steps
Open Inventory in the top navigation bar.
Go to the Consumable request tab.
Choose the warehouse at the top left. Nothing else works until you do.
Click New request.
Enter a Request name and choose the Project. Both are required.
Choose a pickup or a delivery, then set the address and Requested date.
Search for each item and enter the quantity you need.
Click Request to submit, or Save Draft to finish it later.
What happens next
The request arrives at Unreviewed and waits for someone with permission to move it on. The moment it reaches Approved, the quantities shift from Available to Committed on each stock item, so nobody else can request them. At Delivered the stock leaves inventory for good.
Notes and limits
A request can carry more than 1 pickup or delivery. Each has its own date and address.
You can edit the request until it is approved. After that, only if your warehouse allows editing after approval.
A request cannot skip a status. When the one you want is not offered, the message names the statuses you can move to.
Status names are set per warehouse, so Unreviewed and the rest may read differently on yours.
Cancelling and deleting
To release a request you no longer need, move it to Rejected/Cancelled. The committed quantities return to Available at once.
Deleting is a different thing. It removes the request, its pickups and deliveries, and its receipt log, and it notifies everyone watching. It does not return committed stock to Available. A request that has reached Delivered cannot be deleted at all.
Best practices
Cancel before you delete. Deleting an approved request leaves its quantities sitting in Committed with nothing left to release them.
Settle the quantities before anyone approves it. Approval is what reserves the stock, and past that point your warehouse may not allow edits at all.
Ask your Admin to link the warehouse to the projects it actually serves. A warehouse with no projects linked offers every project on the company, which is how a request ends up on the wrong job.
If this doesn't work
Start a chat from the Messenger in the bottom-left of this page, or email help@subbase.io. Include the order or project number and what you expected to happen.
