1. Overview
Workbooks are practical evidence records used to verify that an individual can safely and competently carry out a specific task. They provide assurance that the person has demonstrated the required skills under the correct level of supervision. Examples include confirming the ability to safely lift equipment, climb a pole, or perform other role-specific activities.
Workbooks ensure:
Competence validation – skills are not only trained but also demonstrated in practice.
Safety assurance – individuals have proven capability before being authorised to work independently.
Traceability – a record exists of who verified the competency, when, and under what supervision.
Requirements for Generation:
An authorisation code with defined requirements must be assigned to the individual’s profile before a workbook is generated.
The supervision level attached to the authorisation code must be Personal (P) or Immediate (I).
If an authorisation code does not include P or I, no workbook requirement will be generated.
By linking workbooks to authorisation codes and supervision levels, ensures that all staff and contractors demonstrate competency in a structured, consistent, and auditable way before being permitted to perform safety-critical tasks.
2. Workbook Approvals Dashboard
The Workbook Approvals Dashboard helps you manage and review workbook submissions that support an individual’s competency and authorisation requirements.
View all workbook submissions that require your approval, as well as those already approved or rejected.
Check the details of each submission, including the associated authorisation code, requirement, job number, and who verified the evidence.
Use this dashboard to ensure that individuals have demonstrated the practical skills needed before their authorisation can be confirmed.
Scroll down to view All Requirements, where you can filter by profile, company, team, status, and more.
This page ensures that workbook evidence is processed efficiently, accurately, and in line with competency and safety requirements.
3. Generating Workbook
a. Open the navigation on the left and click 'User Management', then click 'Profiles'
b. In the search bar, type in the name or the email address of the person's profile you are searching for and click the eye icon in the Actions column
c. Scroll down to Authorisation Codes
d. Click the plus icon
e. Search for the authorisation code (with requirements)
f. Select the appropriate authorisation code
g. Complete relevant information & select Supervision Required (Personal or Intermediate)
h. Click Save Changes
i. Click on the Requirements button to view the requirements
*Note: Once authorisation codes are added WITH requirements, this will then generate requirements for the end user to complete. The admins will not see any pending workbook approvals until evidence has been submitted.
4. End User - Submit Evidence (via browser)
a. User navigates to their homepage
b. Click Add requirement, scroll down to the My Active Requirements section and click Add Evidence
c. Select Supervisor, type in Job Number, add Evidence, add Condition
d. Click Save
5. Workbook Approvals
a. Open the navigation on the left and click Authorisations, Workbook Approvals b. Navigate to the Awaiting Approval section
c. Click on relevant user requirementd
d. Click on Review
e. Review the Evidence, check off the Standards Checklist (if passed) and Approve/Reject
f. Click Update
6. Workbook Approvals - Rejected
Evidence is sometimes not sufficient and requires user to reject.
