Interview Bookings

1. Overview

Interviews form part of the authorisation process and are used to assess whether an individual is ready to work without direct supervision.

When a new authorisation code is issued, it normally carries a Personal (P) restriction, meaning the individual must be supervised while carrying out tasks or an Intermediate (I) meaning the individual must be watched while carrying out tasks. Once the individual has gained sufficient experience and demonstrated competence, an interview is arranged to review their knowledge, skills, and safe working practices.

The purpose of the interview is typically to determine whether the P or I restriction can be removed from the individual’s authorisation code, allowing them to work independently.

In some cases, interviews are used for granting access to specific keys.

2. Interview Bookings

The Interview Bookings page allows you to view and manage all interview requests related to the authorisation process.

  • See every interview that has been requested, including who it’s for, the interviewer, and whether it has been accepted.

  • Review interview outcomes such as Passed, Failed, or Partial Pass, and check whether the interview was required as part of removing a Personal (P) or Immediate (I) restriction.

  • Use this page to track interview progress, update results, or take action on pending bookings.

  • You can also create a new interview request using the New Interview button.

This page helps ensure individuals progress through the authorisation process once they have demonstrated the necessary skills and experience.

3. Upcoming Interview Bookings

The Upcoming Interviews page shows all interviews that have been scheduled and are waiting to take place.

  • View the date, time, and interviewer assigned to each upcoming interview.

  • Filter by profile, company, team, interviewer, or authorisation code to quickly locate the interview you need.

  • Check interview details to ensure bookings are confirmed and aligned with the individual’s authorisation requirements.

Below this section, the Awaiting Interview Booking list highlights individuals who still need an interview scheduled after completing their practical experience or workbook requirements.

This page helps you stay ahead of authorisation timelines and ensures no interviews are missed or delayed.

4. Setting up an Interview (Profile Page)

a. Open the navigation on the left and click 'User Management', then click 'Profiles'

b. In the search bar, type in the name or the email address of the person's profile you are searching for and click the eye icon in the Actions column

c. Click on Interviews

d. Click the plus icon

e. Fill in required detail

  • To add authorisation code user is interviewing for - select authorisation code from drop down and click on add authorisation code)

f. Click Save Changes

Notifications will be sent to the end user’s email that an interview was booked for.

Additional notes:

  • If generating an Interview from the end user’s profile, the Profile field will auto-populate

  • The Requested By field will auto-populate to the end user’s line manager, but this can be modified

  • User must click on Add Authorisation Code to add the code they want to interview the user for to the profile. This code will be automatically added to the user’s profile if they pass the interview

  • An Interview File must be uploaded to create the Interview Booking

  • The View Interview Booking screen can be accessed via the Interview bookings page, or from the user’s profile

  • Here, the scheduler will be able to view the status of the interview

5. End User - Accepting Interview

a. User receives notification in email & in notifications

b. Click on notification

c. Click OK

d. Accept interview

Notes:

  • Users will be able to view the notification for an interview in the mobile app but cannot accept the interview there. This must be done through the web portal (browser).

  • Interviewer and Line Manager (“Requested by”) will receive notifications that the user has accepted the interview.

6. Rejection of Interview

a. User receives notification in email & in notifications

b. Click on notification

c. Click OK

d. Reject interview

Notifications for the rejection are sent to the Line Manager (Requested by), Interviewer and Individual

7. Completion of Interview - Positive Result

a. Open the navigation on the left and click 'Authorisation', then click 'Interview Bookings'

b. Click Edit icon (scheduler/user can make any updates necessary here)

c. Click Results tab

d. Select Overall Result, Result Date & Time, add any Interview Comments

e. Click Save Changes

f. The Interview Booking screen can be accessed via the Interview bookings page, or from the user’s profile

Notes:

  • When Passed is selected for the interview, it will default to passed on the Auth code

  • If marking as Partial Passed, user must select which Auth code has passed the interview

  • When individual passes the interview and receives the updated authorisation code without the supervision on it, the Authorisation code with a P/I on it will be archived

8. Completion of Interview - Failed
