The article will give you an overview of the system settings. System settings allow you to customize the portal according to your needs. It is an extensive system, so obviously you might have some questions. If you do not find answers to your questions, you can always contact support.
Overall system settings comprise 5 main sections with various subsections – namely General section, Schedule, Client, Staff, and Absence.
1. General Section
The general section has two subsections – the main and the system.
The main section allows you to customize the time zone, upload custom CSS, upload the application logo, and customize some basic user settings. It also allows you to access settings related to security where you can manage password complexity, user lockout, and two-factor authentication if it is enabled on the whole settings. Moreover, you can insert invoice information as well.
The system section allows you to insert basic company information, and upload the company logo. You can define the date format that will be used across the system, the time format, and the currency. You can also adjust portal settings related to calendar schedules and timesheets in this section. You can also define company departments, rate types, contracts, and contract types. These things will be reused all across the system.
2. Schedule Section
There are three subsections of the schedule section. Schedule, work time rule, and reminder. Every section has its tabs and options.
Schedule
In the schedule tab, you can turn on or off different warnings and errors related to staff shifts and anything related to scheduling.
The second tab is “cancellation”. It allows you to define settings related to shift cancellation.
The time clock tab allows you to define settings related to clock in and clock out.
The timesheet tab allows you to adjust settings related to the timesheet. Go through the settings. Most of the settings are self-explanatory, you can read them and turn them on or off.
Work Time Rule
The second subsection is the work time rule. You can define maximum hours based on your company policy and regulations. You can create different rules with different combinations based on maximum working hours, age, and contract types and you can also select the warning type whether you want to show a warning or error or turn it off.
Reminder
The third subsection is reminders. Reminders are notifications for staff related to shifts, timesheets, and everything that helps staff to keep up with their schedule. You can create different combinations based on action interval and whether these reminders will be sent on the application, e-mail, or SMS.
3. Client section
The client section allows you to define some basic settings. you can turn it off or on using the sliders. The settings include “sending timesheet requests”, and “advertise jobs to workers” and you can also define the week start day.
4. Staff section
The first subsection of the staff section is Positions. You can define different positions with different combinations of options. Every position can have its bill rate, pay rate, break time, and whether it has paid breaks or not. These positions will be later on used when creating shifts.
The Portal subsection allows you to define different settings related to the staff portal. You can switch on and switch off the settings according to your needs.
The health section allows you to define different health conditions your employees may encounter. These conditions will be later used on employee profiles. Employees will be able to select from the available health conditions.
In the appearance section, you can define different appearance traits.
In the certificate section, you can define different types of certificates. This allows employees to select relevant certificates on their profile.
In the next section, you can define different visa types. These will be available for employees as an option on their profile to choose from.
In the region section, you can define different regions for example in the City of London, a region would be central London, west London, and so on.
In the Languages section, you can define different languages.
All these subsections under the staff section will be available for staff on their profile so that they can select relevant options.
5. Absence section
In the absence section, you can define different absence types and bank holidays you can also customize settings related to absence and holidays, and allowance on holidays. You can create absence types with multiple combinations whether it is with pay or without pay and whether it will be taken from allowance.
When staff are adding absence, they will see these absence types the admins have added in this section. Staff requires admin approval to register an absence. If the staff has added an absence, the system will not allow creating a shift on that date.
