Akada allows you to send emails to parents, students, staff, classes, groups of classes, or group codes. Emails can be sent from either the main studio email address or your personal user email address. You can use this feature to send receipts, statements, confirmations, and a variety of other reports. While we’ll cover emailing specific reports in other articles, this guide focuses on sending a general email to multiple recipients.
Before you send an email, if you haven't already done so, you'll need to set up your email in your Akada Settings. Click here to learn everything you need to know about setting up email.
Sending Email
Start by scrolling to the Messaging section of the Akada menu on the left side of the screen and clicking Email.
In the Compose message section, choose the email type (school or user email).
Next, you'll choose recipients.
In the Message Recipients section, click the purple link corresponding to the group you want to email, such as accounts, students, or classes.
Click the box next to the recipients you want to include or click the box at the top of the grid (to the left of First name) to select all.
When emailing by class, you'll receive a pop-up to select who within that class you want to email.
When you are finished, click on the Selected link to review your recipients.
Now you're ready to type your message and send your email.
Saved Emails
Akada helps you save time and stay consistent by storing emails you send frequently—such as responses to common questions—so you can easily reuse them whenever needed. By saving email templates, you also create a record of frequently used messages, ensuring you can track and reference previous communications even though Akada does not store sent emails.
To save a new email, click the Add Email button, then enter your subject line and message in the pop-up—making it easy to reuse this email whenever you need it.
Tip: You can also save an email as you're sending it by clicking the Save email button to the right of the Send button.
Use the purple action menu located to the right of previously saved emails to edit, load, or delete them. Saving emails also allows you to maintain a record of your communications, as Akada does not store a repository of sent emails.
Email History
The email history section displays a list of all emails sent, along with their status (completed or completed with failures). Clicking the View button to the right of the email displays the list of recipients and, in the event of failures, provides the corresponding error message. However, Akada does not store the content of sent emails. If maintaining a copy is important, consider saving the email as a template or adding yourself as a recipient.
Managing Sent Emails and Receiving Copies in Akada
After sending an email, managing it effectively can ensure you have the right records and troubleshoot any issues. Here’s how:
Viewing Sent Emails in Akada
Akada doesn't store a complete repository of sent emails. To maintain a record:
Add Yourself as a Recipient: Include your own email address in the recipients list to receive a copy of the email in your inbox.
Save Email Templates: Use the "Save Email" button before sending to keep a record for future reference.
Resolving Issues with Missing Copies of Sent Emails
In cases where you have enabled Akada’s setting to send you copies of emails, but don’t receive them:
Identify the Sending Email Address: Check previously received emails to find the sending address used by Akada.
Whitelist the Sending Address: Add the address to your email provider’s list of trusted senders.
Check Spam and Junk Folders: Locate emails that may be flagged as spam and mark them as "Not Spam." Following these steps makes it easy for you to receive email copies.
