Posting Account Charges (modern)

The Account Charges screen lets you post charges across multiple accounts, classes, or groups at once β€” saving you from having to enter them one by one. Whether you're posting private lessons, competition fees, or special event charges, this tool helps you post quickly, accurately, and consistently.

To Post Account Charges:

  • Locate the Financial section in the Settings menu to the left.

  • Click on Post Charges.

  • Select Account to be taken to the Post Account Charges page.

  • Review and update (if needed) the Session drop-down. It will be defaulted to your current session.

  • Use the Charge Code menu to select the charge to be entered (see pic above).

  • Enter the Charge Date to appear on the customer's transactions page.

  • Check the box to apply any prior open credit or payment to be applied to this charge.

  • The box for online payment is checked by default. Uncheck this if you do not want customers to pay the charge online.

  • Check the box if you do not want any discounts assigned to the account or student to apply to this charge.

  • Use the Enter Charge For the menu to select the method the charge will be applied (options explained below).

  • Click the button to review charges (shown below).

  • Use the grid to review the charges before postings.*

  • When satisfied, click the Post Charges button.

  • You will see a small pop-up confirming that the charges were posted, along with a message in the Charge Option section.

  • Your posting should now appear in the Account Charge Posting History (see below.

*When reviewing charges, use the purple action menu on the right to view more details about the charge.

Account Charge Posting History:

  • The Posting History allows you to review and delete previous postings using the purple action menu on the right.

  • Use the Status dropdown to view current, deleted, or all postings.

  • The search function can be used to narrow the results by date.

Options for Posting (Enter Charge For menu):

  • Each Active Account - This option adds a charge to every active account.

  • Selected Accounts - This option lets you apply a single charge to specific accounts.

    • Check the box by each name you wish to charge.

  • Each Account with Selected Group - This option enables you to charge each account assigned to a specific group.

    • When chosen, a list of your groups will appear below.

  • Each Active Student - This option will add one charge per active student to every account.

    • Student names may be included by checking the box displayed above.

  • Selected Students - Choose this option to add a common fee to a selected group of students.

    • Once selected, check the box next to each name you'd like to charge.

  • Each Student with Selected Group - Like accounts, this allows you to post charges to students within a specific group.

    • When chosen, a list of your groups will appear below.

    • You may include the student's name on the charge by checking the box.

  • Each Student Times the Number of Classes (one charge per student) - This option will add one charge for each class the student is enrolled in. For example, if your charge is $25 and the student is enrolled in 4 classes, the account will receive one $100 charge.

    • The student's names may be included by checking the box listed above the drop-down.

    • Additionally, you can apply these charges only to students participating in recitals by checking the boxes. A good example of this is the costume deposit charges.

  • Each Student for Each Class (one charge per enrolled class) - This option creates a separate charge for each class the student is enrolled in. For example, a $25 charge for a student in 4 classes will result in 4 separate $25 charges on the account.

    • The student's names may be included by checking the box listed above the drop-down.

    • Additionally, you can apply these charges only to students participating in recitals by checking the boxes. A good example of this is the costume deposit charges.

  • Each Student in Each Selected Class - Here, you can choose specific classes to add charges to. Each enrolled student will be charged.

  • Each Student Participating in Recital - This will add one charge to each student who is marked as participating in the recital.
