Tuition Set-up

Learn how to set up and manage tuition in Akada using class count, time, flat rates, or manual entry with flexible billing options.

Akada allows you to automate studio tuition by choosing one of four calculation methods: class-specific, number of classes, total class time, or manual entry.

To Access the Akada Tuition Setup Page:

  • Locate the Settings option to the left & select Tuition

  • Select Tuition.

Calculating Tuition by Number of Classes:

Calculating tuition by the number of classes means charging based on how many classes a student takes, which works well when all classes are the same length. However, if your class durations vary—like 60-minute and 90-minute options—you might prefer using the Time-based method to more accurately reflect value.

To Create a Tuition Table by Number of Classes:

  • Click on Tuition By Number of Classes to expand the section.

  • Select Add Tuition Amount

  • Enter the tuition amount for two classes (you may enter the class amount or the total

  • Click Save.

  • Repeat this process for the highest number of classes a student might take or until the tuition maximum.

Calculating Tuition by Time:

Calculating tuition by time means charging based on the total number of minutes or hours a student is enrolled, regardless of how many classes they take. This method is ideal if your class lengths vary and are priced differently, as it ensures tuition reflects actual instructional time.

To Create a Tuition Time Table:

  • Click the Tuition by Time in Class section to expand it.

  • Click on Add Tuition Amount.

  • Enter a stop time.

  • Enter a Total Tuition Amount for that amount of Time.

  • Click the Save button to add the entry to your Tuition Table.

  • Repeat this process until you reach the maximum time a student will take or until the tuition maxes out.

When offering classes of varying lengths, you need to be sure to add a time entry and tuition amount for each possible combination of time the student may take. If you offer 45-minute classes, you must do your time entries in 15-minute increments.

RESET MANUAL TUITION:

For studios that use the Manual Tuition only! If you need to reset manual tuition entries to $0.00, you can use this feature. Be aware that if you reset the tuition amounts to $0.00, the request can't be reversed.

Final Thoughts on Tuition Setup:

We recommend entering tuition amounts monthly; however, some studios prefer to use weekly or even yearly amounts. If you decide to use monthly or weekly, adjust the multipliers for your billing frequency, specifically the monthly frequency.

All accounts do not have to use the same Tuition Calculation methods. It is pretty common for studios to use one method for older students and another method for young (toddler) students whose classes may be very short. Another example is some studios calculate the tuition for adult students by class because the classes offered may have tuition specific to the class.
