AI Assistant: scheduling and time tracking

Ask the AI Assistant who's on, fill open shifts, check swaps against your work rules, approve time tracking and run the payroll export.

The AI Assistant can handle anything from asking who's on tonight to approving a fortnight of time tracking and generating the payroll export. It takes into account who's on leave, who has marked themselves unavailable, and whether a shift would break your work rules.

It earns its keep on the decisions nobody enjoys making. For an open shift, it can list who applied, pull each applicant's job title and how long they've been with you, and rank them. For a shift swap, it checks the swap against your work rules before you approve it, so you're not the one spotting that the trade leaves someone with a seven hour turnaround.

Things you can ask

  • "Who's on tonight at Camden?"

  • "Anyone booked off this weekend that I've missed?"

  • "Put Maria on Friday 4 till 11, leave it as a draft for now"

  • "Can Anna work the Friday close and the Saturday open?"

  • "Who applied for the open Saturday shift? Who's the most experienced?"

  • "Give that open shift to whoever's been here longest and has the right role"

  • "Any swaps waiting on me? Approve the ones that don't break a rule"

  • "Which weeks are ready to publish?"

  • "Approve last week's time tracking for Camden and Soho"

  • "Payroll export by department this time, not the standard one"

Good to know

  • Publishing a week is final. Individual shifts can still be edited afterwards, but there's no undo on the publish itself, so the Assistant checks with you first.

  • It can show you the clashes a template would cause, but applying a template is still done in Scheduling.

  • Swap details never show pay figures.
