AI Assistant: work and salary rules

Hand the AI Assistant your collective agreement and it maps each clause onto working time rules and supplements, showing you the list before creating anything.

Work and salary rules live under Settings. Setting them up by hand means translating an agreement into maximum daily hours, maximum hours in a period, minimum rest between shifts, minimum free days and free weekends, then a separate supplement for each evening, night, weekend and public holiday window, each with its own days, times and rates, and each targeted at the right contract and pay type. It's an afternoon's work and easy to get subtly wrong.

Instead, hand the AI Assistant the agreement. Attach the 2026 Horesta agreement, or whichever one applies to you, and ask it to set your rules up. It reads the document, maps each clause onto a rule, and shows you the full list before creating a single one: the hours limits, the rest periods, the free weekend requirement, and the evening and night supplements with their windows and rates.

Where the agreement uses something the rule engine can't express, such as a percentage uplift or a tiered overtime rate, it tells you that clause needs handling outside All Gravy rather than quietly converting it into a number that looks about right.

Keeping rules current is the same conversation. When a new agreement lands, ask what changed against what you've got.

  • "Here's the 2026 Horesta agreement. Set up our working time rules from it"

  • "What's changed between this agreement and the rules we've got now?"

  • "Block anything with under 11 hours rest, hourly staff, Denmark, from Monday"

  • "Evening supplement, 25 kroner an hour, 6 till midnight, weekdays"

  • "Show me the active rules. Which ones block and which just warn?"

  • "Max weekly hours down to 40 from next month"

  • "Would this Friday night shift break anything?"

  • "Map sick leave to code 110 in the payroll export"

Good to know

  • Supplements are a fixed amount per hour, so percentage uplifts and overtime tiers can't be built. The Assistant will say so rather than approximating.

  • A supplement window can't cross midnight, so an overnight one becomes two rules.

  • Changes to a rule take effect from a future date, never retroactively.

  • An age restriction can be saved but isn't enforced anywhere, in Scheduling or in payroll, so please don't rely on it.
