What Are Workflow Categories and Why Are They Required?

Workflow Categories are Group-level classifications used to organize workflow templates in ANVL. They are required before workflows can be deployed and directly impact how workflows appear to both end users and Workflow Managers.

This article is a reference to understand how Workflow Categories behave before creating, editing, or deleting them in Group Management.


Answer

Workflow Categories organize workflows by program or workstream at the Group (Site) level. They must exist before workflows can be published and determine how workflows are grouped and displayed during publishing and execution.


Steps

To understand or evaluate Workflow Category structure:

  1. Confirm the Group (Site) has Workflow Categories configured.

  2. Review whether categories align to programs or workstreams (e.g., Quality, Safety, Task Planning).

  3. Validate categories are consistent across similar Groups if reporting alignment is required.

  4. Ensure required categories exist before attempting to publish workflows.

  5. Review impact before editing or deleting any existing categories.


What Workflow Categories Are

Workflow Categories are:

  • Group-specific classifications

  • Required for workflow deployment

  • Visible to both end users and Workflow Managers

They appear:

  • To end users when starting a workflow (Mobile & Web)

  • To Workflow Managers when publishing workflow templates


How Workflow Categories Are Used

For End Users

  • Categories appear when selecting which workflow to start.

  • They help users quickly locate the correct workflow.

For Workflow Managers

  • A Category must exist in the Group before a workflow can be published.

  • Categories determine how workflows are grouped and displayed.

  • If a Category does not exist, it cannot be selected during publishing.

Key Characteristics

  • Categories are Group-specific.

  • New Groups do not inherit Workflow Categories.

  • Category Type is defined at creation and cannot be changed.

  • Categories must be managed intentionally to avoid deployment disruption.
