How do I delete/deactivate a published workflow template?

Published workflow templates can be deactivated from Workflow Management in the ANVL Admin Portal. Deactivating a template removes it from the selected Group so users can no longer start that workflow.

Published workflow templates can be deactivated from Workflow Management in the ANVL Insights Admin Portal. Deactivating a template removes it from the selected Group so users can no longer start that workflow.

Each row in Workflow Management represents a published instance of a workflow template for a specific Group. If the same workflow template is published to multiple Groups, it will appear as a separate row for each Group. This allows you to deactivate the workflow from specific Groups without affecting the other published instances.

Deactivation cannot be reversed through the Admin Portal. Confirm that you have selected the correct workflow template and Group before proceeding.


Steps

  1. Open ANVL Insights.

  2. Select Welcome, [Your Name] and open the dropdown menu.

  3. Select Admin Portal.

  4. In the Admin Portal, select Workflow Management.

  5. Use the available filters or search to locate the workflow template you want to deactivate. Quick filters include:

    • Division ID – identifies the Group where the template is published.

    • Workflow Name – identifies the name of the published workflow.

    • Workflow Category – identifies the category where users see the workflow, such as JSA or Lockout Tagout.

  6. Review the results and identify the specific Group or Groups where the workflow should be removed.

  7. Select the checkbox next to each workflow template instance you want to deactivate.

  8. Select Deactivate.

  9. Review the confirmation message. Deactivating the selected templates will make them unavailable to users in those Groups.

  10. Select OK to confirm the deactivation.

Additional Details

One row represents one Group. If a workflow template is published to three Groups, Workflow Management displays three rows for that template. Deactivating one row removes the workflow only from the Group associated with that row.

The Assessment Type is the unique identifier for the workflow template. When the same template is published across multiple Groups, those rows share the same Assessment Type even though each row represents a separate published instance.

Workflow Management also displays information such as the workflow version, Division ID, Workflow Category ID, status, creation and update dates, and template tags. Tags may be used for reporting in Power BI or via the ANVL REST API.

Only active published templates appear in Workflow Management. After a template is deactivated, it no longer appears in this list.

There is no self-service option to reactivate a workflow template after it has been deactivated. If a template is deactivated accidentally and must be restored, contact ANVL Support or submit a Help Me request for assistance.
