What are Work Folders? Adding & Managing Work Folders

Work Folders provide an additional way to organize workflows by job, site, or customer

Note: Work Folders are optional and may not be enabled for every organization.

They are most commonly used in construction, field service, and utilities.

What Are Work Folders?

A Work Folder groups all workflows, photos, and activity related to a single job or work location.

Think of it like a digital folder for a job:

  • All related workflows live in one place

  • All photos and activity are tied together

  • Multiple users can contribute to the same folder

How Work Folders Appear

If Work Folders are enabled:

  • You’ll see Work Folders instead of a flat workflow list

  • The Folders option appears on the Orientation Screen

  • You must select or create a folder before starting a workflow

If you don’t see folders, this feature is not enabled for your organization.

Create or Select a Work Folder

You can:

  • Create a folder manually using the Add button, or

  • Use folders that are automatically created via system integrations (API)

Folders often include job details such as:

  • Job number

  • Site or customer information

  • Status (Active / Inactive)


Add Team Members to a Folder

Work Folders support collaboration

  • Open a folder

  • Add users to the folder

  • Everyone added can view and contribute workflows

This works similarly to shared folders in tools like Google Drive or SharePoint.

Complete Workflows in a Folder

Inside a Work Folder:

  1. Tap Start Workflow

  2. Choose a workflow (e.g., JSA)

  3. Complete it as usual

All workflows, photos, and notes are automatically stored in that folder.

You can:

  • View started or completed workflows

  • See all photos with time and date stamps

  • Resume in-progress work

  • Review or share completed workflows

Manage Finished Jobs

When a job is complete:

  • Mark the Work Folder as Inactive

  • Inactive folders are hidden from your active list

  • This helps keep your dashboard organized

Finding Work Folders

  • Folders load in batches (tap Load More to see additional jobs)

  • Use Refresh if you were recently added to a folder

  • Search supports job or folder IDs (not full text)
